The role sits within the Civic Infrastructure team, a team of nearly 100 staff responsible for the delivery of some of the states most exciting and unique capital construction projects.
Job Description
About the Role
Provide high-level professional administrative and project support as required to the Group Head and wider Civic Infrastructure Division, ensuring the division operates effectively and smoothly, and tasks are completed in a timely and appropriate manner.
Key accountabilities include:
Oversee the operations of the largest division within the organisation and provide a broad range of timely administrative support to ensure that all administration functions run smoothly.
Co-ordinate and arrange a variety of events and functions for the Group Head; this may include preparing, sending and receiving invitations, organising venues and catering arrangements and other special requirements to ensure that events run smoothly and successfully.
Co-ordinate a range of regular reporting requirements for the Board & Committees, Business teams and external stakeholders, ensuring an eye for consistency and accuracy.
Assist preparing presentations & other reports for the Group.
Maintain proficient diary management for nominated senior managers. Receive and screen incoming telephone calls for nominated managers and then re-direct or forward messages as required.
Maintaining a high level of public relations including, at times, high confidential and sensitive issues with staff, the general public, key stakeholders, ministers and ministerial staff.
Liaise, coordinate and provide leadership to the broader administrative support officers across the project teams.
The initiative to make things happen and to work collaboratively with the team.
About You
Ideally, you will have;
A relevant Certificate IV or higher qualification in Business, Administration, Property or relevant discipline or equivalent professional experience.
Regularly plans ahead, tracks progress on work tasks and assists others to do the same
Experience in liaising and consulting with all levels of staff and external stakeholders on complex, confidential and sensitive matters, using tact and judgement.
Demonstrated high-level administrative skills including the ability to coordinate tasks, meet tight deadlines, determine priorities, take initiative and work under limited direction.
Commitment to delivering high quality outcomes and providing support to the Civic teams.
The ability to establish and maintain useful relationships with internal staff, across the broader DV organisation and with external clients and stakeholders.
High level experience with Microsoft Office programs
Exceptional interpersonal skills both written and verbal communication.
Ability to meet deadlines and manage own workload effectively.
