The HRIS and Payroll Specialist will also support the Head of HR and HR Business Partner on identifying and executing initiatives that will enable business performance. Strong communication skills are key to being successful in this role, with the HRIS and Payroll Specialist providing advice to employees and managers on employment guidelines including contracts, policies and standards and employment legislation.
Key Responsibilities:
1. PAYROLL
- Work with outsourced payroll provider to run (co-ordinate, prepare, process and check) the monthly permanent, fortnightly casual and off-cycle payroll runs; including notifications of new starters, employee changes and exits
- First point of contact for outsourced payroll provider on payroll processing matters
- Ensure accurate and timely information to Finance
- To ensure data quality and synchronisation between the outsourced payroll provider data and HRIS
- Main contact point for all payroll related queries including the Employee Self Service tool
- Process improvements and best practice payroll processes recommended to Head of HR
2. SYSTEMS AND REPORTING
- To ensure SAP is accurately maintained, up to date and issues are pro-actively identified and reported to relevant contacts.
- To ensure organisation charts in SAP and databases are up to date on a monthly basis.
- Run and create regular and new SAP based reports as needed for HR and internal stakeholders.
- Work closely with outsourced Payroll provider to ensure all payroll requirements are met and reporting is accurate
- Support the annual pay review process by providing input, reporting and ensuring data accuracy
- Act as local Project Manager for global HRIS upgrades and projects
- Support the Head of HR with the creation of the monthly HR metric reporting
3. Administration and Advice
- To provide advice and respond to queries from employees including leave, benefits and contract related queries
- To deal with all payroll related queries and issues, and to work closely with our outsourced payroll provider
- To support the Head of HR with relevant HR communications
- Work closely with HR team to manage benefits administration and all benefits related queries
- Own and update relevant HR policies and Workbench
- Remain up to date on employment legislation including leave, awards, dismissal, and manages compliance to the relevant frameworks
EXPERIENCE
1. HRIS administration / system management role (SAP highly desired)
2. Processing payroll, with an external provider desirable (ADP desirable)
3. Interpreting and explaining employment legislation and company policies to employees
4. FMCG industry desirable
5. Experience in a matrix organisation desirable
