The Opportunity

The Provisioning and Warehousing Specialist plays a pivotal role in verifying the accuracy of ordering requirements, ensuring the seamless delivery of acquired solutions to customers, agents & vendors, and the efficient management of inventory within the warehouse. You will be responsible in providing a smooth customer experience and overseeing various warehouse operations ensuring accuracy, timeliness and safety in all procurement warehousing processes.

Responsibilities

  • Be the primary point of contact responsible for all hardware and software (including Microsoft CSP & SPLA licencing) procurement requests for both client projects and internal staff.
  • Coordinate procurement projects including ordering, liaising with technical consultants to have relevant hardware and software configured, as well as liaising with key client contacts on project progress and expected completion times.
  • Coordinate the picking, packing, and shipping of customer orders in a timely and accurate manner. Ensure that all orders are packed securely to prevent damage during transit.
  • Track, manage and respond to multiple orders simultaneously while ensuring accuracy of projects are maintained within ServiceNow.
  • Communicate with internal resources to obtain any necessary information to complete internal orders for the provision of services and follow up to ensure response.
  • Provide assistance with escalation requests, and handle customer complaints when required.
  • Be able to deal with unexpected & last-minute changes regarding orders and understand how it will affect the entire order process and to reschedule other parties involved as needed.
  • Generate quote requests relating to IT hardware, software or licence.
  • Monitor inventory levels and ensure adequate stock levels to fulfill orders promptly that flow through other departments. Also maintain accurate inventory records of warehouse activities through regular cycle counts, audits, and reconciliation.
  • Oversee the receiving process for incoming goods and stocks, verifying quantities and quality against purchase orders. Coordinate with suppliers and logistics partners to resolve any discrepancies or issues.
  • Implement quality control measures to ensure that products meet established standards before they are shipped to customers & vendors. Conduct inspections and quality checks as necessary.
  • Optimise warehouse layout and storage methods to maximise space utilisation and facilitate efficient retrieval of goods. Implement proper shelving, bin locations, and labelling systems.
  • Oversee the maintenance and repair of warehouse equipment, such as forklifts, pallet jacks, and conveyor systems. Coordinate the dates required for site survey, facility and equipment.
  • Enforce safety protocols and best practices to maintain a safe working environment for warehousing activities. Ensure compliance with regulatory requirements and company policies.
  • Generate reports on key performance indicators (KPIs) to track productivity and identify areas for improvement, as well as provide reports to customers when requested.
  • Develop and implement new processes and workflows to facilitate improvement areas where needed.
  • Log in to billing system and update Vendor licenses daily or as required.
  • Daily checking of Microsoft CSP & SPLA license changes either via reporting or distributor portals.
  • Answering customer enquiries via phone, ticketing and/or email.
  • Assist in provisioning & warehousing training and education of other departments or individuals in the company as needed.

Skills and Qualifications:

  • Experience and knowledge in the IT industry
  • Previous experience in hardware and software procurement with a strong understanding of Microsoft CSP and SPLA licensing.
  • Previous experience in warehousing, logistics and/or customer service, with a strong understanding of warehouse operations and inventory management principles.
  • Previous experience in managing multiple hardware, software, and transport vendors.
  • Excellent organisational skills with an ability to prioritise tasks and be responsive to requests and manage multiple responsibilities simultaneously is essential to the role.
  • Strong attention to detail and experience with data entry and record-keeping experience is desirable.
  • Effective communication skills, both verbal and written, with the ability to interact professionally with team members, suppliers, and customers.
  • Proficiency in using warehouse management systems (WMS) and related software applications for inventory tracking and order processing.
  • Knowledge of safety regulations and best practices for warehouse operations.
  • Ability to operate warehouse equipment safely and efficiently.
  • Flexibility to adapt to changing priorities and work schedules, including occasional overtime or weekend shifts as needed.
