The Role
This hybrid role combines administrative and IT operational responsibilities, serving as a liaison between the IT department and the broader organisation. The ideal candidate will have experience in office administration, with a keen interest in developing IT skills and knowledge.
Responsibilities
- Process purchase requests, invoices, and work with providers to maintain appropriate stock levels for IT-related resources, including hardware, software, and supplies. Coordinate with other sites or departments as needed to ensure efficient inventory management.
- Act as the primary point of contact for IT-related inquiries and support from the Germany office. Handle ad-hoc requests, provide information on IT orders, applications, and IT setups.
- Manage IT asset inventory, including tracking, reporting, and maintaining up-to-date records of IT assets across the organisation. Coordinate with the IT service providers for issue resolution and escalation of asset-related concerns.
- Assist with IT onboarding and offboarding activities, ensuring proper setup and provisioning of IT resources (e.g., laptops, accounts, software) for new hires and departing employees.
- Manage the provisioning and lifecycle of mobile devices, including ordering, deployment, and decommissioning of company-issued smartphones, tablets, and other mobile devices.
- Contribute to level 1 IT support and service desk operations by assisting to triage and resolving basic IT issues to SLA or escalating to the appropriate IT personnel when necessary.
- Assist with IT project coordination and logistics.
- Support accurate financial tracking of IT expenses within the organisation's ERP system, including purchase orders, invoices, and project costs.
- Proficient in using Active Directory, service management tools (FreshService, Jira), Office 365 suite, and collaboration platforms to support IT operations and workflows.
- Assist with ITIL service management practices, such as change, incident and problems management ensuring proper documentation and communication of IT activities across the organisation.
- Maintain strong communication and coordination with the IT team, managers, and end-users to ensure efficient IT service delivery and support.
- Coordinate domestic travel arrangements for the IT team, adhering to company guidelines.
Requirements
- ITIL 4 certification
- 2-3 years of experience in an IT support or service desk role, or exposure to IT operations within an organisation
- Proficient in using Active Directory, service management tools (FreshService, Jira), Office 365 suite, and collaboration platforms to support IT operations and workflows
