We are actively seeking a skilled Japanese-Speaking Administrative Assistant to join our esteemed client’s team on a 1-year contract, with potential for extension. As a crucial member of the admin team, you’ll facilitate seamless communication with the finance department, excel in report generation, and manage various administrative tasks with finesse.

- Job Purpose: Facilitate seamless operations for the Assistant Managing Director and Managing Director by delivering comprehensive administrative support, ensuring efficient office functionality and enabling effective decision-making processes.
Your responsibilities will encompass various tasks, including but not limited to:
- Provide extensive administrative support to the Assistant Managing Director and Managing Director, encompassing tasks such as accounts payable, diary management, and secretarial services for meetings.
- Efficiently generate and manage various reports, including monthly sales reports and financial documents, ensuring accuracy and timeliness.
- Liaise with the parent company to address queries, requests, and reporting requirements, fostering effective communication and collaboration.
- Serve as an interpreter for expatriate team members and guests, facilitating smooth communication during business interactions.
- Coordinate travel and accommodation arrangements, as well as organize catering and events, ensuring seamless logistics for corporate activities.
- Represent company at industry and societal groups, providing administrative support to membership-based organisations.
- Assist in the planning and execution of both planned and ad hoc projects, contributing to the achievement of organisational objectives.
- Maintain a safe work environment and adhere to Occupational Health and Safety (OHS) practices, promoting the well-being of employees and visitors alike.
- Legal right to work in Australia without restrictions.
- Proficiency in Japanese with fluent English communication (verbal and written), essential for effective cross-cultural communication.
- Previous administration experience, preferably in an international/multinational organisation, showcasing familiarity with diverse administrative tasks and procedures.
- Exceptional organisational and prioritisation skills, demonstrated through proven ability to manage multiple tasks efficiently and meet deadlines.
- Strong interpersonal skills, with a track record of building and maintaining professional relationships, fostering collaboration and teamwork.
- Demonstrated attention to detail, ensuring accuracy and precision in all tasks undertaken.
- Strong problem-solving and conceptual abilities, enabling effective resolution of issues and adaptation to evolving situations.
- Proven numerical and analytical skills, with extensive experience in Excel for data analysis and gathering.
- Intermediate to advanced proficiency in MS Office suite, including Word, and PowerPoint, to facilitate efficient data management and reporting.
- Exposure to project coordination/management is desirable, demonstrating the ability to contribute to project success.
- Ability to work effectively both independently and as part of a team, showcasing adaptability and initiative in various work scenarios.
- Possession of a current Victorian Driver’s License and access to own transport for mobility as required.

5. Work Flexibility…Initially, full onsite presence is required, with potential for flexible work arrangements following negotiation.
6. Salary…Offering a competitive salary range of $65,000 - $75,000 per annum, commensurate with experience and expertise.
7. Working Hour…Nominal hours from 8:30 am to 4:30 pm Monday to Friday, including a refreshing 1.0 hour lunch break.

Initially, a 12-month contract with the possibility of extension based on performance and business needs.
