Job description

We are seeking an experienced Legal Assistant or Executive Assistant to join our Melbourne Real Estate team supporting Melbourne Office Managing Partner Jane Hodder and team of senior lawyers.

As Legal Assistant to the Office Managing Partner, you will play a crucial role in the day-to-day of our Melbourne office and the Real Estate team. Your day will involve:

  • Managing Jane's calendar with appropriate meeting lead times including travel and diary management.
  • Managing and drafting correspondence, preparing reports, and handling of confidential documents and information with discretion.
  • Liaising with internal and external stakeholders ensuring smooth communication and prompt resolution of queries.
  • Supporting strategic initiatives and events led by Jane and our executives.
  • Coaching and mentoring team Administrative Assistants.
  • Managing billing processes for the team including clients with specific and more complex billing needs.

Skills & experience:

This role will suit someone with strong organisational skills, excellent attention to detail, ability to keep the highest level of confidentiality and a strong sense of initiative.

You will also have:

  • 5+ years Legal Assistant or Executive Assistant experience.
  • Ability to anticipate Partner requirements.
  • Previous billing experience is essential (Aderant Expert - preferred but not essential).
  • Strong time management and organisational skills.
  • Previous matter management experience is advantageous.
  • Sound judgement and business acumen with the ability to maintain a high level of professionalism and confidentiality.
  • Excellent written and verbal communication skills with a demonstrated ability to build effective relationships with stakeholders.
