The Role
We are seeking a dynamic and collaborative Executive Assistant to join our friendly and high performing team in our boutique law firm. In this role, you will provide support to the principal of the law firm, providing support in managing his busy schedule, facilitating communications, and ensuring the smooth operation of daily activities. This role is ideal for a highly motivated and driven person seeking a career change or an experienced assistant who is eager to contribute in the field of dispute resolution.
Requirements
This position is a full-time in-office role but could be adapted to a part-time/school hours role. Our office is conveniently located above Wynyard station in Sydney CBD offering many options for public transport or parking facilities.
Please note we are looking for applicants who can provide a long-term commitment to the company and role, so please do not apply if this is not suitable for you.
Some of your duties will include:
- Diary and emails management
- Inbound and outbound calls to clients and professionals
- Liaising with clients, lawyers and other industry professionals in person, by phone and by email
- Document management and e-filing
- Drafting and preparing various documents
- Drafting emails and correspondence
- Acting as a central point of contact between the Director and internal/external clients and stakeholders
- Travel coordination and management
- Basic marketing tasks
- Other ad hoc administration tasks
- Attend to and manage various personal tasks for the Principal
About you:
- Ability to learn quickly, energetic and self-motivated
- Professional manners and commitment to premium client service
- A positive attitude and able to work in a small team
- Ability to meet deadlines and work under pressure with competing demands
- Strong communication (oral and written) and interpersonal skills
- Attention to detail, organised and efficient
- Working knowledge of MS Office (Word, Excel, Teams, Planner), legal software or other PMS
- Previous experience in a law, accounting or consulting firm preferred but not essential.
