Position Overview
NLS Law is seeking an Experienced Legal Administration Officer (Level 3) to join our dynamic teams in Sydney and Newcastle, with this role being located in our Newcastle Office. This role is integral to our operations, providing advanced administrative and clerical support under limited supervision. The ideal candidate will exhibit a broad range of skills and a depth of knowledge in legal administrative functions, demonstrating competencies in problem-solving, literacy, numeracy, information handling, communication, and technology use within legal contexts.
Key Responsibilities & Roles:
- Maintain information records systems, ensuring the integrity and accessibility of files and documents.
- Efficiently collect and provide information to facilitate communication flow, including responding to telephone, oral, and written requests for information and drafting routine correspondence.
- Answer telephones, scheduling conferences and attending to emails.
- Provide information and advice to clients, promoting the services of NLS Law and processing client complaints to resolution.
- Speaking and communicating with clients in a non-legal capacity by email and telephone.
- Organizing and maintaining schedules to assist solicitors in their roles managing and a range of client conferences, court events and other commitments.
- Negotiate task allocations with team members to ensure the completion of tasks and achievement of group goals.
- Document filing, maintaining records and ensuring client matters are appropriately organised, indexed and updated.
- Preparing, collating and indexing documents.
- Preparing soft and hard copies for counsel.
- Attending to usual office and administration tasks, including office upkeep, liaising with solicitors and other general administration tasks.
- Exhibit a basic understanding of the legal structures and procedures of the relevant State or Territory.
Qualifications and Requirements:
- Demonstrated competency in the range of skills and responsibilities as per Level 3 of the Legal Services Award.
- A minimum of five years of experience in a legal administration or legal secretary position, preferably within Family and Children's Law.
- Advanced problem-solving, organizational, and time management skills.
- Proficiency in legal software and Microsoft Office applications.
- Proficiency in Google Chrome and Microsoft Outlook.
- Ability to work effectively in teams and independently under limited supervision.
- Basic understanding of the legal structures and procedures of the relevant State or Territory.
- Understanding of the Family Law and Federal Circuit and Family Court of Australia.
