Administration Manager

Position Summary: The Administration Manager is responsible for overseeing and coordinating all administrative operations within the local government organization. This role ensures efficient and effective administrative support services to various departments, managing administrative staff, and implementing policies and procedures to streamline operations.
Key Responsibilities: Administrative Operations Management: Manage and coordinate all administrative functions, including reception, office supplies, record-keeping, mail distribution, and other support services. Develop and implement administrative policies, procedures, and standards to ensure consistent and efficient operations across the organization. Monitor and evaluate administrative processes, identifying areas for improvement and implementing necessary changes.
Staff Supervision and Development: Supervise and manage the administrative support staff, including recruitment, training, performance evaluation, and professional development. Foster a positive work environment, promoting teamwork, collaboration, and effective communication among administrative staff. Provide guidance, coaching, and mentorship to administrative staff, ensuring they have the necessary skills and knowledge to perform their duties effectively.
Office Management: Oversee the management of office facilities, equipment, and supplies, ensuring adequate resources are available for efficient operations. Coordinate office space planning, layout, and ergonomics to promote a productive and safe work environment. Implement and maintain office automation systems, including computer hardware, software, and communication systems.
Records Management: Develop and implement record-keeping policies and procedures in compliance with relevant laws, regulations, and best practices. Ensure proper maintenance, storage, and retrieval of physical and electronic records, ensuring data integrity and security. Coordinate the archiving and disposal of records in accordance with established policies and legal requirements.
Budget Management: Prepare and manage the administrative department's budget, monitoring expenses and ensuring fiscal responsibility. Analyze budgetary requirements and make recommendations for cost-effective solutions. Coordinate with other department heads to align administrative support needs with budgetary constraints.
Project Management: Coordinate and manage administrative projects, such as office relocations, system implementations, or process improvements. Develop project plans, timelines, and resource allocations, ensuring successful project execution and completion. Collaborate with cross-functional teams and stakeholders to ensure project objectives are achieved.
Qualifications and Requirements:
  • Diploma or Bachelor's degree in Business Administration, Public Administration, or a related field.Alternatively a Minimum of 5 years of experience in administrative management or a similar role, preferably in a local government or public sector environment.
  • Strong leadership, organizational, and problem-solving skills.
  • Excellent communication and interpersonal abilities. Proficiency in office productivity software and administrative technologies. Knowledge of relevant laws, regulations, and best practices related to record-keeping, office management, and administrative operations.
  • Ability to manage multiple tasks and priorities in a fast-paced environment. Commitment to continuous improvement and process optimization.
We have Various Roles in Commercial, Local Government and Government across Australia. Some roles have relocation packages.

This role includes housing, a $5,000 per year car allowance - you will be required to relocate your vehicle, a regional allowance, and a professional development package of up to $28,850.00.

This role involves relocating to Regional WA, Kimberley. There is a relocation package which includes transportation of your vehicle.
