Job description

The responsibilities of the Master Scheduler, Dependencies and Reporting Function are:

  • Develop and deliver the associated scheduling and dependency artefacts, processes, and procedures.
  • Creates and Manages Power BI and reporting production.
  • Collaborate with project managers and team leads to develop project schedules, considering project scope, objectives, and dependencies.
  • Define project milestones, deliverables, and critical path activities.
  • Ensure that project schedules are realistic, achievable, and aligned with organizational goals and timelines.
  • Identify resource requirements for project tasks and activities, including personnel, equipment, and materials.
  • Coordinate with resource managers to allocate resources based on project schedules and priorities.
  • Optimize resource utilization and availability to ensure project deadlines are met efficiently.
  • Develop and maintain project schedules using scheduling software and tools (e.g., Microsoft Project Professional).
  • Create Gantt charts, timelines, and visualizations to represent project schedules and dependencies.
  • Update project schedules regularly to reflect changes, progress, and adjustments.
  • Identify critical path activities and milestones that determine the overall duration of the project.
  • Analyse critical path activities to identify potential risks and bottlenecks that could impact project timelines.
  • Develop contingency plans and mitigation strategies to address critical path risks and delays.
  • Manage dependencies between project tasks, activities, and milestones.
  • Identify and track dependencies to ensure that tasks are sequenced appropriately and completed in the correct order.
  • Coordinate with project teams to resolve dependencies and minimize delays.
  • Evaluate project schedules for opportunities to optimize resource utilization, reduce project duration, and improve efficiency.
  • Identify schedule conflicts, overlaps, and inefficiencies, and propose solutions to mitigate them.
  • Conduct what-if analyses and scenario planning to assess the impact of schedule changes and adjustments.
  • Assess schedule risks and uncertainties that could impact project timelines and delivery.
  • Develop risk mitigation strategies and contingency plans to address potential schedule delays.
  • Monitor and track schedule risks throughout the project lifecycle and implement proactive measures to mitigate them.
  • Communicate project schedules, timelines, and status updates to project stakeholders, including project managers, team members, and leadership.
  • Prepare schedule reports, dashboards, and visualizations to provide insights into project progress and performance.
  • Facilitate schedule review meetings and discussions to address issues, concerns, and changes.
  • Ensure that project schedules adhere to scheduling standards, best practices, and methodologies.
  • Conduct schedule audits and reviews to verify schedule accuracy, completeness, and alignment with project objectives.
  • Implement continuous improvement initiatives to enhance scheduling processes and practices.
  • Provide training and mentorship to project team members on scheduling principles, techniques, and tools.
  • Share best practices and lessons learned to build scheduling capabilities and competency within the team.
  • Foster a culture of collaboration and knowledge sharing to improve scheduling performance and outcomes.
