Medical Administration Officer
Permanent part-time role
Hours: The ideal applicant would be able to work in the range of 15-20 hours per week. This role would suit someone with a preference for shorter work days within typical school hours on Mondays, Tuesdays and Thursdays, ideally also with availability to work a full day every second Friday.
Inhabit Health is an established Psychiatry and Psychology private practice in Mount Gravatt East that offers treatment and intervention to adults across a range of modalities including general psychiatry, developmental disability / neurodivergent psychiatry, veterans' and older persons’ mental health, and therapeutic psychological intervention.
We are looking for a reliable, friendly and experienced medical admin officer to join our team and work on a permanent part-time basis.
We opened in late 2020, having newly renovated the clinic, and have progressively expanded to now have 5 psychiatrists and a psychologist. You will be commencing under the leadership of an established senior admin officer, and working within a strong existing framework of policies and procedures and well-organised systems already in place.
We are located in a quieter suburban setting with easy off- and on-street parking, a nearby cafe, restaurant and shops, and a warm, modern and disability-friendly clinical environment.
Key responsibilities include:
- Medical administrative role in coordination with our existing admin team, to continue to reliably provide high-quality support for all of our clinicians on the practice‘s busier days.
- Work within the clinic's policies and processes in the context an established and busy small group private practice.
- Confident skills in coordinating several psychiatrists' and psychologists' private clinic bookings.
- Familiarity with psychiatry and psychology billing, item numbers, care plans, various forms of billing including NDIS, DVA, WorkCover Qld and medicolegal.
- Answering phones and emails with skills to coordinate with other members of the team, prioritise appropriately, and work efficiently.
- Liaising with patients and clinicians to achieve expected outcomes in a timely and accurate way, with excellent communication skills.
- Office skills including competent use of IT, phones, EFTPOS, banking, mail, again under the leadership of our senior admin officer.
About you:
To be successful in this role you will have excellent people skills with exceptional attention to detail. The ability to liaise with patients in an empathetic yet efficient manner, whilst managing a busy and changeable workflow is a key skill that is required. You will have strong communication skills and the ability to work well within a team environment or autonomously when required. You will have the ability to manage your workload in a positive way, with skills to find solutions or coordinate with the relevant clinician or the directors as needed.

You will also bring:
- Experience with medical practice management software (experience with Gentu / Genie is highly regarded but not essential).
- Experience with Microsoft Office suite, including Outlook and Word.
- A minimum of 1-2 years’ experience working in an admin role within a private specialist practice, allied health or GP clinic. Previous experience in a mental health setting is highly regarded.
- A positive and happy attitude with an intact sense of humour.
