This role will be based 20 mins east of the Melbourne CBD.
Role
As the Medical Secretary, you will be the heartbeat of the front desk, you'll wear multiple hats, ensuring the smooth operation of both administrative and PA function. Your role will be pivotal in creating an environment where patients feel not just seen, but truly cared for.
Your exceptional communication skills and friendly demeanor will set the tone for our patients' experience from the moment they walk through the door.
The working hours for this role is on a rotating roster from 8:30Am - 4:30pm (8 hour shift). Monday - Friday.
Key Responsibilities:
- Provide high-level administrative support to the clinic's leadership team, including the Medical Director and Clinic Manager.
- Manage calendars, schedule appointments, and coordinate meetings and travel arrangements.
- Manage phone calls, schedule appointments, and handle patient inquiries with professionalism and empathy.
- Maintain accurate patient records, ensuring confidentiality and compliance with privacy regulations.
- Coordinate with medical staff to schedule procedures, consultations, and follow-up appointments.
- Process patient paperwork, including insurance forms and medical history questionnaires, with attention to detail and accuracy.
- Assist with billing and coding tasks as needed, ensuring compliance with regulatory requirements.
- Provide administrative support to medical staff, including typing correspondence, preparing documents, and organizing meetings.
- Must have Proven medical Personal Assistant experience
- Must have GENIE software experience (minimum 1 year)
- Available to commence with 1 to 2 weeks notice
- Able to commit to Full-time Roster - Between 8am - 4:30Ppm (8hr shifts) Monday - Friday
- Strong interpersonal skills and a customer-centric approach.
- Familiarity with medical software and office technology.
- A positive attitude and the ability to thrive in a fast-paced environment
