Medical Secretary/ Reception - Macquarie Health Collective (Full-time) 

We are currently recruiting an experienced Medical Receptionist to join our growing team. This position is a full-time permanent opportunity, working Monday to Friday, with the clinic opening between 8am and 6pm. Your hours rotate between an open shift of 8am to 4.30pm or a close shift of 9/9.30am to 5.30/6pm  This role is based at our Brisbane Street Clinic.

We are looking for an experienced Receptionist with outstanding skills in customer service. We are looking for someone who demonstrates a high level of initiative, is personable and builds connections and contributes energy and enthusiasm in all that they do.

Macquarie Health Collective is a holistic clinic bringing together specialists from a variety of disciplines including General Practitioners, Medical Specialists, and Allied Health Providers.

Macquarie Health Collective aims to give each person who visits our practice comprehensive and holistic care. Our practitioners work together to treat a variety of health and psychological concerns with a whole of body approach. We pride ourselves on the delivery of evidence-based and individually-tailored services.

Macquarie Health Collective is an innovative health care practice that services not only Dubbo but communities across regional NSW. Our practice uses a combination of telehealth and face-to-face services to ensure healthcare needs can be met, no matter the location.

Size; 4500 registered patients.

Demographics; Servicing Dubbo and Regional NSW.

Staff numbers; 4 General Practitioners, 1 Registered Nurse, 6 Allied Health Professionals and 3 Medical or Head of Reception roles.

  • Being the face and the voice of the clinic and the first point of contact for patients.
  • Maintaining complete and accurate medical records including the input of data into computer systems.
  • Managing a large volume of telephone enquiries with urgency, recording accurate messages, and scheduling appointments.
  • Reception and general administration including the use of Best Practice medical software.
  • Cash handling and reconciliation of banking.
  • Preparing consulting rooms for doctors’ sessions.
  • Scanning and posting scripts, referral letters, and other confidential documentation. 
  • Managing complex diaries and maintaining files with accuracy.
  • Responding to email enquiries with diligence and care.
  • Processing Medicare rebates and other forms of payment and undertaking daily reconciliations. 
  • Modelling and promoting MHC vision and values.

About You

The overall purpose of this position is to be the first point of contact for Macquarie Health Collective’s patients. You will be responsible for providing exceptional customer service to all patients, their carers, other external clients, as well as your colleagues. 

Skills & Experience:

Experience in a similar role or other professional environment.

The ability to work under pressure and respond to fluctuating workflow. You will need excellent organisational and time management skills.

Collaborative and flexible approach in working with the wider administration team and other internal customers, in line with the organisation’s values.

Experience in computerised billing and receipting is preferred.

Ability to communicate with clarity both verbally (face-to-face and telephone) and written.

Ability to use computer systems – competence required in Word and Excel and Best Practice is highly regarded. Competent typing skills (60wpm or more).

Delivery of excellent client service (to internal and/or external clients).

High attention to detail, a strong sense of collaboration and a desire to take initiative. 

Possessing basic knowledge of medical terminology.
