About the Law Council of Australia

The Law Council of Australia represents the legal profession at the national level, to speak on behalf of its Constituent Bodies on national issues, and to promote the administration of justice, access to justice and general improvement of the law. 

The Law Council advises governments, courts and federal agencies on ways in which the law and the justice system can be improved for the benefit of the community. The Law Council also represents the Australian legal profession overseas, and maintains close relationships with legal professional bodies throughout the world.

The Law Council was established in 1933, and represents 16 Australian state and territory law societies and bar associations and the Law Firms Australia, which are known collectively as the Council’s Constituent Bodies. 

The Secretariat serves the Law Council nationally and is based in Canberra.

 

About the division

The Corporate Services Division is responsible for all operational aspects of the Law Council of Australia including financial management, IT systems, human resource management, workplace health and safety and building maintenance. The Division is responsible for providing the organisation with the means to enable it to complete tasks in the most efficient and effective manner possible.

 

About the role

Reporting to the Director, Finance and Corporate Services, the Office Administrator will play a pivotal role in the Corporate Services Division and will have oversight and management of daily operational requirements of the Law Council. 

The Office Administrator is the central point of contact for all office related enquiries. This role is responsible for front office and undertakes a broad range of administrative and operational tasks.

 

Duties and Responsibilities

Concierge 

  • Provide general office support including front of house reception duties, responding to general enquiries, answering and forwarding phone calls, opening and processing of mail, and updating mail logs. 
  • Monitor the Law Council of Australia (LCA) Inbox and Reception Inbox, and forward emails to the relevant divisions/staff in a timely manner.
  • Maintain a high standard of service to internal and external stakeholders whilst promoting a positive image by displaying friendly, courteous, and effective customer service.
  • Forecast conferences and meetings, establishing associated boardrooms and amenities for executive events, including the acquisition of refreshments as required. 
  • Provide front of house services as required. This will be situationally based as the LCA does not have a traditional reception area. 

 

Facilities & Governance 

  • Maintain and update information in the Office Manual and LCA intranet. 
  • Update relevant corporate documents, including contract information and administration. 
  • Be the point of contact for and coordinate with external providers and facility contractors. 
  • Manage the LCA’s facility bookings, including physical and online meeting rooms. 
  • Manage the LCA’s building infrastructure, including the staff carparking arrangements, and building access and security. 
  • Communicate to all staff when sub-contractors and maintenance providers are on site. 
  • Co-ordinate the procurement, maintenance, and distribution of stationery, staff consumables and other office supplies. 
  • Manage CCTV capabilities. 
  • Manage the LCA’s external document archiving arrangements. 

 

Operations 

  • Review, recommend and implement policies and procedures to ensure efficient and effective business operations.
  • Assist Director, Finance & Corporate Services in the oversight of subcontractor arrangements/contracts/compliance. 
  • Governance – oversight and general management of the LCA’s internal assets (including asset registers), and general assistance with the administration of the physical archives.  
  • Assist LCA teams as required with the preparation and conduct of events. 
  • Facilitate and coordinate staff and stakeholder travel and accommodation as required. 
  • Booking travel and accommodation for select LCA staff. 
  • Other tasks as required by the LCA. 

 

Selection Criteria 

  1. Minimum three years’ experience in a business administration or clerical role.  
  2. Excellent interpersonal and communication skills. 
  3. High level of initiative and drive, and the ability to forecast tasks independently. 
  4. A general understanding of business principles, organisational methods, and best practices. 
  5. The ability to work well collaboratively.
  6. Be a team player, who is willing to help others and collaborate. 
  7. Ability to work in the office.
