Your Future Role
Austin Engineering has an exciting full-time position for an enthusiastic Office Administrator to champion general office administration duties, providing support and assistance to various Austin Engineering departments.
Key Responsibilities
- Occupying reception area, greeting and supporting visitors
- Assist in preparation of job cards and sales handovers for won projects.
- Preparation and delivery of Weekly and other periodic or contractual reporting for internal and external stakeholders.
- Updating internal registers
- Assist in the preparation of VIP meetings i.e. PPE layout, food and drink presentation etc.
- Creation of ERP projects, sales orders and shared drive job folders for all projects (capital sales, spare parts, refurbishments and warranty).
- ERP system requisitioning of external parts and intercompany capital sales.
- Administration/updating of Austin documentation in customer portals.
- Travel booking, including client-specific requirements for site mobilisations, for Austin personnel and contractors.
- Answering desk phone and group mailboxes.
- Processing electronic signing requests.
- Plan company events
- Requesting quotes for office and facility maintenance
- Issue and maintain register of keys, swipe cards and office access codes
- Assist in the development of new and improvement of existing sales and other business procedure.
- Other tasks as directed by management within your skills, ability and reasonable working hours expected relative to the position level.
- Comply with Austin Engineering Group Risk Management, Quality Assurance and Health, Safety and Environment management systems, including statutory obligations.
- Foster a zero-incident safety culture within all operations.
- Promote a safe working environment and working practices.
Qualifications, Knowledge & Experience
- Min. 2 years' experience in Office Administration role, or similar.
- Experience in Microsoft Office applications essential.
- Experience in ERPs (particularly Pronto, MYOB, NetSuite) desirable.
- High level Interpersonal communication skills, both written and oral.
- High level of attention to detail and pride in work.
- Willingness to enthusiastically learn new process and products.
