In this newly created position, the Office Administrator / Executive assistant will take on a pivotal role supporting our CEO as well as providing administration support to our Brisbane office.  You will work collaboratively and effectively as part of a regional administration team and deliver business support as identified and required.

Key responsibilities include, but are not limited to:

  • Provide comprehensive administrative support to the CEO, including calendar management, travel planning, and expense reporting.

  • Maintain a well-organised and efficient office environment, handling office administration and maintenance tasks.

  • Arranging meetings - inviting attendees, booking rooms, catering and preparing/circulating document packs.

  • Communicate effectively with stakeholders at all levels, both internally and externally.

  • Co-ordinating onboarding for new starters in Brisbane working directly with HR & IT.

  • Coordinate meetings and events, ensuring all necessary preparations are made.

  • Utilise Microsoft Office tools for data analysis, presentations, and other tasks.

  • Help coordinate / compile / format regular reports or documents as required.

  • Ensuring all corporate compliance tasks are scheduled and completed on time.

  • Support with IT arrangements for new starters.

  • Reporting of IT or FM issues in Brisbane office.

Desired Skills, Experience and Capabilities

  • Experience in a similar role within a professional services environment highly regarded.

  • Great interpersonal skills (tact, integrity, confidentiality, patience and ability to get on well with all levels of staff).

  • Able to keep calm under pressure and when working to often demanding deadlines.

  • Flexibility to deal with changing priorities and tasks.

  • Discretion when exposed to confidential information.

  • Ability to pick up corporate systems quickly.

  • Professional attitude.
