Job description

This a fantastic role for someone with drive and energy to support the Secretariat in administration and Hospitality functions part time, 22.5 hours per week.

The Office and Hospitality Coordinator provides a wide range of administration and functional support across the organisation in this part time, 22.5 hours per week role.

The role

  • Assist the Conference with administrative and executive support, as needed.
  • Act as the first point of contact for visitors and clients.
  • Manage the Conference printing, stationery and mail, including ordering of supplies, as required.
  • Maintain facilities including kitchen areas, meeting room bookings, catering and accommodation for attendees of meetings and assist with setting up the facilities as required.
  • Coordinate and provide executive support to the staff of the secretariat, including travel and accommodation bookings, updating contact records, and finalisation of documentation.
  • Organise internal minor maintenance as required.
  • Promote a welcoming environment for staff and visitors.
  • Coordinate and implement various projects that may arise in the course of administration of the General Secretariat.

About you

  • Proven experience in a broad range of office duties with strong experience in working in a small team without close supervision.
  • Demonstrated sound experience in Microsoft Office operating environment including Microsoft 365, Word, Excel and SharePoint.
  • Demonstrated initiative combined with sound judgement and problem-solving skills.
  • Excellent organisational and time management skills.
  • Excellent electronic, oral and written communication skills.
  • A willingness to facilitate and drive workplace events and celebrated occasions in conjunction with the Social Committee.
  • An understanding and willingness to work within the mission and identity of the Catholic Church.
  • Experience in the use of Salesforce is desirable.
