In this multifaceted role, you will be the first point of contact for corporate office visitors and callers, ensuring a professional and welcoming experience. You will also provide essential administrative support, office coordination, and assistance to executive team members.
Responsibilities:
- Administrative Support:
- Manage company calendar and schedule meetings for staff.
- Provide comprehensive administrative support to executives and/or departments.
- Prepare presentations, reports, and other business documents.
- Maintain accurate filing systems (physical and digital).
- Manage office supplies and equipment inventory.
- Reception and Communication:
- Answer and direct phone calls efficiently.
- Process and manage incoming and outgoing mail and correspondence.
- Manage and update company intranet content.
- Office Coordination and Management:
- Coordinate office logistics, including maintenance requests and vendor relations.
- Oversee travel arrangements for staff (booking flights, hotels, etc.).
- Manage and maintain office space (furniture, equipment, cleanliness).
- Assist with project coordination and implementation.
- Event Coordination:
- Plan and coordinate internal and external events (meetings, conferences, social gatherings).
- Manage event logistics such as catering, audio/visual equipment, and attendee RSVPs.
- Prepare post-event reports and follow-up with attendees.
- Office & Workplace Culture:
- Assist with onboarding and orientation for new hires.
- Foster a positive and professional work environment.
- Maintain office supplies and equipment inventory.
- Executive Assistant Support:
- Provide direct administrative support to CEO (e.g., coordinate meetings, presentations, travel arrangements).
- Anticipate and address executive needs proactively.
- Maintain confidentiality and discretion in all tasks.
Qualifications:
- Relevant Degree/Diploma/Experience in Business Administration, Office Administration, or a related field.
- Proven experience in an administrative role.
- Excellent communication, interpersonal, and organisational skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong attention to detail and ability to prioritise multiple tasks.
- Ability to work independently and as part of a team.
