We are seeking an Office Manager/ Personal Assistant to ensures the office is run efficiently and professionally and creates a supportive environment that allows team members to focus on their specialised roles.
This is a job share position, where you will work Wednesday to Friday with a requirement to commence ASAP. The role is based in our modern CBD office. Start and finish times are negotiable on commencement.
The Office Manager and Personal Assistant provides support to 2 General Managers and other members of the management team. This important role allows Management to achieve more in their day.
The Office Manager & Personal Assistant works with the Department Managers to ensure all administration duties are carried out effectively and efficiently. Both roles work closely together to ensure the office is running smoothly and that adequate support is provided to the General Managers and the wider team.
The successful applicant will be involved in a variety of tasks such as:
- HR/ payroll
- OH&S
- Sales support including assisting with the completion of Tenders
- Sales pipeline and database management
- Booking travel
- Reconciling credit cards and expense claims
- Preparing, editing and formatting documents
- Managing the overall office environment
- Organising events
- Supervising the administration staff
- As well as a great variety of other Executive Assistant and Office Management tasks
Skills and Experience
To be successful in this role you will need to have:
- Have a good track record in a busy and varied assistant role
- Ability to multi-task and prioritise an ever-changing workload
- You must not be afraid of hard work or taking a hands-on approach to make sure things get done no matter how big or small the task may be
- Someone who likes to improve processes and look at ways of doing things more effectively
- Professional and engaging - a team player who enjoys engaging with internal and external stakeholders with a high level of emotional intelligence
- High level of integrity that is able to stay impartial to all internal stakeholders and keep information confidential
- Required to obtain a national police clearance
