Office Manager - short term contract 22.5hrs a week.
The Position
Reporting to Regional Director, NT the Office Manager is accountable for co-ordinating and managing the efficient operation of the Darwin office and providing administration support to the Darwin team.
The scope for this position covers:
● Coordinating and managing the efficient operation of the Darwin Office.
● Supporting remote engagement activities
● Managing the light vehicle fleet.
● Administration support including preparation of reports, presentations and correspondence, and stakeholder engagement records.
● Events management and coordination as required.
Key Deliverables
● Co-ordinate and manage the efficient operation of our Darwin office, including access, security, work station allocation, office supplies, meeting rooms, safety, office inductions, visitor management, maintenance, fire wardens, office evacuation plans and parking.
● Maintain office procedures, communicating changes, continuously improving office processes and procedures.
● Support logistics arrangements for remote engagement activities.
● Manage light vehicle fleet, including working with the NT Operation Manager on new fleet vehicle purchases, servicing, tyre repairs, fitouts etc.
● Manage and allocate field equipment (radios, sat-phones, first aid kits, fire extinguishers, recovery kits, tool kits, swags, etc) in accordance with vehicle assessments and requirements.
● Manage ongoing expenses (satphone, Remote NBN accounts, sat-data connections, fuel, site services for TRP, sensor calibration etc etc)
● Monitor and report on stakeholder engagement records in IsoMetrix including monthly team updates.
● Assist with preparation of reports, presentations, and correspondence as required.
● Events management and coordination (as required).
● Coordinating Darwin-based training.
● Working closely with the Darwin team to optimise operational efficiency and create a great working environment.
The ‘go to’ person for all administration and support for Darwin office.
Other projects and tasks as required.
Experience
● Experience in managing and supporting an office with multiple teams and frequent visiting staff.
● Provision of administrative support that includes document and database management, developing materials and presentations, managing expenses and travel, coordinating meetings and providing basic IT support, event management, team building and cultural activities.
● Experience managing a small vehicle fleet including set up, maintenance, safety, vehicle allocation and inspection.
Industries/Background
● Companies with ‘infield’ operations.
● Development or project companies desirable but not essential.

Education and Qualifications
● Diploma or equivalent in administration desirable.
