Genis Steel SA is notably working on the Burnside Village Shopping Centre, a range of significant defence projects, the SAPOL Thebarton Barracks relocation project, as well as schools, commercial buildings, and heavy industrial projects.

The Role
The Office Manager/EA will work from Genis Steel SA’s modern and state of the art office, which is located adjacent to the expansive and technologically advanced workshop in Elizabeth South.
The role is varied, spanning predominantly office management and administrative tasks, while also providing some EA support to Vince to support his workflow and objectives. Vince can be described as passionate, vibrant, entertaining and team oriented. He undoubtedly cares deeply about his employees, and greatly appreciates the loyalty, trust and commitment of his team.
As the Office Manager/EA, you will be responsible for:
- Printing invoices and a summary for the month to be signed off by Vince, and emailing the monthly approved document to the Melbourne office for payment;
- Following up on any discrepancies with employee time allocation or job cost allocations;
- Creating purchase orders in the absence of the Procurement Lead, or as requested by Vince;
- Assisting with asset registers if requested (generally done by the Purchasing Lead);
- Organising and managing data in Excel Spreadsheets (at a basic level), with the support of a data entry assistant;
- Maintaining employee records;
- Managing jobs posted to Seek and applications;
- Managing office supplies and stationery, including the timely ordering of printed stationery;
- Managing the renewals of insurance and warranties, setting up calendar reminders with enough time to renew before expiry;
- Applying for trading accounts, ensuring the documentation is correct and the business and Directors are protected;
- Creating and distributing job numbers for projects;
- Taking minutes as required;
- Answering phones, and when not able to ensuring the calls are answered by others;
- Assisting with the purchase of Australian Standards as requested;
- Managing and filing documents in the appropriate location, ensuring version control;
- Administratively managing group scheme apprenticeships;
- Managing the Australian Industry Group membership;
- Assisting with any Workcover claims if they arise;
- Managing factory vending machine income reports;
- Managing all bin type collections;
- Reading and managing general incoming emails/contact made through the info email address and, replying to or forwarding on as required;
- Booking flights & hotels as requested;
- Managing scrap metal bins, involving significant payment receipts, and keeping Vince aware of fluctuating rates per tonne;
- Potentially assisting with bulk gas buying;
- Liaising with the landlord on lease matters, such as repairs required;
- Managing cleaning contractors;
- Managing employee uniforms;
- Creating and posting the holiday and RDO sheet summary at the start of each year;
- Planning and booking functions i.e. Christmas;
- A range of EA tasks that support Vince’s work/general functioning of the business.
Requirements
- Experience in a varied administrative role;
- Proficiency with the Microsoft suite;
- The ability to manage data in Excel (at a basic level);
- A positive attitude and genuine desire to help;
- Good planning and organisational skills, to meet deadlines;
