The Opportunity
We are seeking an experienced Office Manager/ Executive Assistant to join our Corporate team at State Swim's head office in East Fremantle. This close-knit team oversees operations and supports our entire organization, consisting of approximately 700 employees.
In this newly developed and multifaceted role, you will work closely with the executive team to provide essential administrative support and office coordination. You will also manage the corporate office, handle visitors, and ensure smooth day-to-day operations.

The Office Manager/Executive Assistant will:
- Office Coordination and Management:
- Coordinate office logistics and oversee maintenance requests.
- Manage office space, equipment, and vendor relations.
- Assist with project coordination and implementation.
- Executive Assistant Support:
- Provide direct support to the CEO, including scheduling and travel arrangements.
- Anticipate executive needs and maintain confidentiality.
- Administrative Support:
- Provide comprehensive administrative support to executives and departments.
- Schedule meetings, manage calendars, and prepare business documents.
- Maintain accurate filing systems and manage office supplies.
- Office and Workplace Culture:
- Assist with new hire onboarding and orientation.
- Foster a positive work environment and maintain office culture.
- Event Coordination:
- Plan and coordinate internal and external events.
- Manage event logistics including catering and AV equipment.
- Prepare post-event reports and follow up with attendees.
Who You Are:
- Degree/Diploma or equivalent course in Business Administration, Office Administration, or related field.
- 5+ years proven experience in an Administrative role.
- 3+ years proven experience in an Executive Assistant role
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent verbal and written communication abilities.
- High level of integrity, objectivity, and commitment to confidentiality.
- Positive attitude, professional demeanour, high attention to detail, and a collaborative mindset.
