Job Title: Office Manager &PA to the General Manager

Job Summary:

We're seeking a dynamic individual to join our team as a Personal Assistant to the General Manager, as well as overseeing Office Manager. This multifaceted role requires someone adept at handling administrative tasks, managing human resources functions, and ensuring smooth office operations.

Location: Level 2/88 George St, The Rocks NSW 2000

Salary: 70k-85k subject to experience

Mon – Fri, 8.30am-5pm. No WFH.  

Key Responsibilities:

Personal Assistant to the General Manager:

  • Handle administrative requests and queries from management.
  • Assist in the application and execution of industry accreditation for TGL.
  • Assist in the preparation of regularly scheduled reports.
  • Assist with project management and deliverable execution, keeping the team on track to meet key goals.
  • Arrange travel and accommodations for executives.
  • Communicate in the office with all levels of staff to ensure coordination.
  • Draft daily memos on business topics to executives, staff, and clients.

Human Resources:

  • Spearhead the recruitment process for new personnel across both headquarters and TGL warehouses, including the creation of comprehensive job descriptions, multi-platform job ad postings, meticulous review of candidate resumes, initial screening, and provision of interview feedback to hiring managers.
  • Manage candidate offers and oversee contract administration.
  • Ensure adherence to company policies, compliance with regulations, and execution of TGL values to uphold organizational standards.
  • Focus on employee satisfaction initiatives.

Administration:

  • Handle incoming telephone calls and answer queries.
  • Manage office and warehouse supplies to maintain seamless operations.
  • Coordinate and organize monthly employee events.
  • Collaborate with the Marketing team for the successful execution of all TGL company and project events.
  • Oversee the cleanliness and maintenance status of the office.
  • Handle various ad-hoc tasks as assigned by the management team periodically.

Requirements:

  • At least 4-5 years of experience in a similar role.
  • Excellent time management skills and the ability to prioritize work.
  • Ability to work independently.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to multitask.
  • Ability to think proactively and show initiative.
