ARIA Digital Office Manager - Adelaide
At Aria Digital, an excellent customer experience and efficient project management are the keys to our success. With our forecast of continued growth, our small sales and operations teams are flat out providing that excellence on site and we need an Office Manager with excellent organisational skills and a personable disposition to provide that customer support excellence from the office.
The ideal candidate will have a natural flexibility in handling day-to-day routines as well as surprises. The Office Manager will provide strong, reliable support for customers, suppliers, sales and operations by enhancing and managing systems, processes and procedures that ensure excellent communication and clarity. This person will also help us achieve organizational efficiency by nurturing a positive, inclusive work environment.
Initially, many of the responsibilities will be performed by the Office Manager with part time / temporary or outsourced resources which will grow as the business activity grows.
Objectives and Responsibilities of this role
- Ensure a professional, personal experience as the central point of contact for customers, employees, suppliers and contractors
- Oversee day to day office activities
- Ensure seamless project coordination of all elements including project scope of works documentation, purchase orders, resource coordination, customer interaction and contractor coordination
- Maintain comprehensive oversight of all ongoing projects and regularly update management and team through consistent reporting.
- Provide administrative support as needed, including scheduling appointments, booking travel, mailing and shipping packages and updating CRM when necessary
- Oversee important supplier partnerships and maintain current pricing information
- Manage company licenses, registrations, insurances, subcontractor agreements, OH&S documentation
- Provide weekly reports to management that may include sales reports, marketing reports, ticketing reports and project reports.
- Develop, enhance and implement appropriate systems, policies and procedures, measure outcomes against standards, and suggest operational flow improvements
Required skills and qualifications
- Five or more years of experience in office management in a project oriented business
- Strong time-management and people skills, high degree of flexibility, and excellent multitasking ability
- Proficiency with office applications, and aptitude for learning new software and systems
- Ability to maintain confidentiality of company information
Preferred skills and qualifications
- Bachelor’s degree or equivalent
- Experience in developing and managing internal systems
- Advanced computer skills and experience with online platforms
