Elegant Engineering is seeking an experienced & vibrant Office Manager to join us on a part-time basis working approximately 22 hours per week. We welcome applicants that are looking to work within school hours.
About this role:
This position is best described as the oil that makes the business run smoothly and involves all the non-engineering tasks required to make an office environment work and flourish. The successful applicant will play a key role in keeping everyone resourced and encouraged while looking for way to improve and streamline those non-engineering tasks. This position requires organisational, communication, proofreading, and computer skills to complete administrative tasks for the benefit of the company and our clients.
Duties & responsibilities:
- Handling of invoicing, both incoming and outgoing
- Organise staff pay and accounts for BAS lodgement and EOFY accounts for review by senior management and accountant
- Maintain business insurance and registrations
- Work with engineering staff to ensure projects are completed in a timely matter
- Conduct team member reviews and regular general wellbeing checks
- Organise any necessary office repairs, ordering stationery and supplies, and office equipment
- Lodge job ads, screen candidates and onboard new team members
- Marketing tasks, such as website upgrades, social media, preparation and standardisation of work templates
- Partner with senior staff to update and maintain office operations, policies, and procedures as necessary
- Negotiate with office vendors and service providers and lease holders on contracts and pricing
- Provide general support to visitors
- Liaise with facility management vendors, including cleaning, catering etc.
- Organise team building, social, Christmas events etc.
Ideal candidate will have:
- Prior experience as an Office Manager, front Office Manager, or administrative assistant
- Proficiency in Microsoft Office Suite (Excel and Outlook in particular)
- Keen time management skills, problem solving skills and attention to detail
- Flexibility and adaptability with the ability to multi-task and prioritise
- Excellent written and verbal communication skills
- Hands-on experience with office machines (fax, printers, scanners, etc)
- A bubbly personality is greatly beneficial
- Experience with Xero is favourable
- Experience with marketing or social media is advantageous
