About the role and team

The Office and Marketing Coordinator will manage the front of house and execute all office and marketing administrative tasks at the highest quality standards. This role will vary from day to day with no due to its variety of responsibilities. The Office and Marketing Coordinator plays an integral part of the Scott Carver team and is paramount to the business running smoothly.

Key Responsibilities

Client Services

  • Host reception area and ensure the front of house is always tidy and presentable
  • Greet incoming visitors, clients, consultants, suppliers and direct their enquiries
  • Answer and screen all incoming telephone calls
  • Manage incoming and outgoing mail and couriers.

Marketing & Graphics Services

  • Maintaining company database as it relates to marketing
  • Maintaining media tracker and media reporting. Update spreadsheets, databases and inventories with statistical information and gather important data (social media, web analytics, rankings etc.)
  • Contribute to the Marketing strategy and ensure all activity is in support of company goals and sector strategies
  • Support all processes to ensure internal marketing communications remain inclusive, transparent, meaningful and exciting.
  • Be familiar with Scott Carver brand and style guidelines and always deliver graphics of this quality.
  • Support the deployment and use of standards across the studio, including style guide, templates, awareness and training
  • Produce ad-hoc graphic design as required in support of submissions.
  • Manage image library content [Open Asset], uploading new content, maintain quality and accuracy, and ensuring correct images are used internally and externally.
  • Assist in maintaining web content and executing social media strategies as per the Marketing Plan,
  • Update social media tracker

Office Services

  • General housekeeping and maintenance of the office support systems
  • Keep the office in a tidy and orderly manner, including furniture and fixtures throughout the office.
  • Maintain all shared spaces incl. meeting rooms, with setup, technology, supplies and cleanliness,
  • Maintain the staff amenity areas including kitchen.
  • Main point of contact to building management
  • Coordinate maintenance of all office equipment such as printers / copiers, motor vehicle etc
  • Monitor and replenish office supplies such as stationary, paper, toners, food and beverage, etc
  • Ad hoc copying, printing, binding of documents as requested
  • Archiving, Product library, liaison with IT
  • Errands as requested including deliveries and collections
  • Ad hoc administration requests from the management team

Business Development

  • Perform role in accordance with Scott Carver Management Framework (SCMF) and SC Values.
  • Coordination of client and business development related events
  • Co-ordination of internal staff events including weekly forum and ad hoc social events.
  • General office wide assistance including date entry, subscriptions, booking and the like

About you

The ideal candidate would have the below skills and attributes:

  • Bachelor’s degree or Master’s degree in marketing or graphic design preferred
  • Highly proficient in relevant tools and processes [MS Word, Excel & Outlook, SharePoint, Adobe Suite].
  • Adobe Suite InDesign skills while not required, will be seen as advantageous
  • Ability to work independently and take initiative where needed.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal skills with a positive can-do attitude.
  • Attention to detail and accuracy.
