Job description

The Office/Project Administrator is responsible for the successful management of day-to-day operation of the office.

This role is a full-time 6 months maternity leave cover role based in the CBD.

As a member of the Intellect Systems team, you will work closely in a collegiate manner with the Human Resources Manager and your peers in the delivery of the Company’s strategic and annual business plans whilst ensuring the Company’s reputation for high quality services and client satisfaction is maintained.

The Office/Project Administrator shall ensure effective business operations and provide support where requested.

The core areas of responsibility of this role include:

  • Reception, greeting of clients / vendors and other visitors to the office
  • Co-ordination and maintenance of office supplies, kitchen supplies and equipment
  • Manage booking of site inductions, medicals, training and other site requirements for personnel
  • Book all travel, taxi, accommodation and car hire for site travel as required
  • Perform general administration activities as required
  • Handle confidential information with discretion
  • Management of all incoming and outgoing transmittals
  • Document control using TeamBinder or any specific project/client requirements
  • Management of all building issues and queries
  • Provide support to Human Resources department as required

Skills and experiences sought:

  • Previous experience in document control sought
  • Prior experience in mobilisation is preferred
  • Strong experience in TeamBinder is advantageous
  • Ability to multitask and prioritise tasks effectively
  • Attention to detail and accuracy
  • Proficient in Microsoft Office Suite (Work, Excel Outlook)
