Scope of the role:

We are looking for an experienced administration professional to join our high performing project team, based in the Auburn NSW. You will provide vital administrative support to the teams, efficiently and autonomously implementing and managing key processes, account management and documentation. Drawing on your excellent communication skills, you will build positive relationships across the teams within SKS NSW and also draw on the experience of the national headquarters team in Melbourne to assist in the role.

Job Requirements:

  • While primarily working with NSW team liaison and assistance with the Melbourne team would be required.
  • Review schedule of the projects (via Smartsheet) and update sheet.
  • Assist with shift planning.
  • Supply of timely and accurate invoicing to the client, substantially free of errors. 
  • Assist the project managers with the forecast report in Workbench at start of the month.
  • Process claims rejection by liaising with Subcontractor and relation manager to grant the estimate approval
    Set up the new subcontractor Workbench system 
  • Process the billings/POs to suppliers and subcontractor in Workbench in a timely manner. 
  • Assist project managers invoice project works at end of the month.   
  • Managing outstanding debtors and promptly resolve any outstanding debt issues. 
  • Assist Melbourne accounts team with any enquiries at month end. 
  • Raise and manage Purchase Orders, invoicing and progress claims.
  • Assisting project staff with account management and accurate filling.
  • Data entry and generate weekly/monthly reports as required.
  • Follow up delivery of goods ordered.
  • Order stationery and uniforms as required.
  • Detailed preparation and recording of internal and external correspondence.
  • Development and maintenance of comprehensive contract filing systems.
  • Assist project teams with procurement and commercial documentation.
  • Setting and maintaining administration standards and best practices in NSW.
  • Obtaining quotations, raising purchase orders and ordering materials as directed.

Skill Requirements:

  • Must have visa to work in Australia. 
  • Tertiary education in business, administration or a related field is desirable. 
  • experience in the construction, service or fit-out industry,
  • 2+years’ experience in Project/Office Administration 
  • Exceptional skills and attention to detail
  • Outstanding written and verbal communication skills
  • Proficient in Microsoft Office application 
  • Experience using SharePoint workbench software applications.
  • Positive attitude
