About The Role

We currently have an exciting opportunity for an experienced administrator to join our Community Team at our amazing location center of Melbourne! You will be an integral part of the team and be supported and guided by our Community Team and Leasing & Property Manager. Your main duties throughout the day will be manning the front desk to welcome our members on arrival, dealing with the day-to-day needs of our members, property issues, event planning, assisting with enquiries as well as client enquiries and people who are visiting the spaces. We are committed to a very high standard of presentation and delivering an exceptional level of service to all our current and future members. Our team will train and support you to ensure our members have the best experience every single day.

A Typical Day…

  • Daily functions of the Community Team and will have exposure to most parts of the building operation
  • Meet and greet visitors who are current members, visitors or clients taking a tour with our building manager
  • Be familiar with all our services and products, and be able to answer member and visitor questions 
  • Assisting members who need help or support with community and building services, such as meeting rooms, kitchens, photocopiers
  • Respond to customer enquiries and complaints, as well as solve related issues promptly
  • Ensuring all members' mail and packages are handled properly and delivered
  • Make sure all our members' details are up to date in our CRM (database)
  • Assisting the greater team to develop connections between members, including introductions, support and event planning
  • Collaborate with our wider team to deliver exceptional members' events and service
  • Distribute notices and updates to our community via posters and app posts
  • Coordinating for the seamless move-in and move-outs of our members, including the ordering of keys, access passes.
  • Administration tasks such as maintaining stationery and amenities stock levels, tidying copier areas, utility areas, meeting rooms and common area kitchens throughout the property
  • Help to maintain our building presentation and report maintenance issues to our Property Manager, as well as assist to coordinate access and times for tradesman
  • Respond to and update any helpdesk tickets as necessary
  • Assist with any other projects or undertaking any additional duties as required

  • Has minimum five years in customer service experience from either corporate reception/office administration
