Operation Administration Assistant

The Role

Primarily based out of our Global Head Office in the heart of Alexandria, with flexible working options available (3 days office and 2 WFH), the Admin Assistant will help our Operations team with all back-end functions linked to AAT Kings and Inspiring Journeys Guided tours.

Responsibilities will include but are not limited to:

  • Book and confirm hotels and venues for guided products
  • Arrange and confirm guest airport transfers
  • Accurately complete monthly reports
  • Upload and maintain information in our operations systems ensuring information on touring is accurate
  • Maintain stock and control of uniforms, collateral, and merchandise for the department
  • Action enquiries from the coach division, suppliers, the reservations team and external suppliers
  • Continually look for opportunities to improve the business processes
  • Other duties as required

The Candidate

You will be a naturally organised person who can work with both processes and deal with ad hoc duties as required. You’ll also be eager to learn and take on new challenges.

Our ideal candidate will also have:

  • Excellent time management / multitasking skills
  • The ability to work as part of a team and unsupervised
  • A high attention to detail
  • Proficiency in MS Office Suite (MS Excel and MS Word, specifically)
  • Excellent people skills to develop positive and cohesive working relationships
  • A sound knowledge of Australian Geography would be highly desirable

Those with a prior background in Admin, Operations/logistics or tourism will be highly regarded
