Primary Purpose of the Role
As the Operations and Office Manager, you will play a crucial role in supporting the CEO and managing the day-to-day operations of JCAC. You will oversee a small team delivering corporate services, ensuring effective governance, reporting, human resources, office management, and stakeholder relationships. Your work will support the smooth functioning of our corporate office and contribute to the success of our programs and services.
Key Responsibilities
- Governance and Reporting:
- Lead governance activities for the Board, including meeting scheduling, paper preparation, and minute taking.
- Manage organizational reporting to ORIC and other bodies, ensuring compliance with relevant legislation.
- Prepare and present monthly reports to the management team and Board.
- Human Resources:
- Oversee non-complex HR processes, such as onboarding and timesheet management.
- Support and train a small team of corporate services staff, fostering a culture of continuous improvement.
- Office Management:
- Manage the day-to-day operations of the corporate office, including ordering supplies, maintaining inventory, and overseeing contractors.
- Ensure the office is well-maintained and support large events and functions.
- Relationships:
- Develop strong relationships with stakeholders to advocate for JCAC’s interests and ensure effective program delivery.
- Build internal relationships to support the smooth running of the organization and resolve challenges proactively.
- Aboriginal Ways of Working:
- Apply culturally responsive ways of working with Aboriginal clients, staff, and communities.
Essential Employment Requirements
- Current Australian Driver’s license
- Northern Territory Working with Children Clearance (Ochre Card)
- National Police Certificate Clearance
Selection Criteria
- Minimum of five years’ experience managing a complex office environment.
- Proven experience in preparing government reports and supporting executive-level staff with corporate services.
- Demonstrated governance experience, including scheduling, minute-taking, and record-keeping.
- Proficiency in non-complex HR practices, such as onboarding and contract preparation.
- Strong track record of managing a small team, with the ability to supervise, train, and mentor staff.
- Ability to set priorities, meet deadlines, and maintain confidentiality.
- Awareness of cultural sensitivity, workplace diversity, and safe working environments.
Desirable
- Experience working with Aboriginal communities or similar government-funded organizations.
- Degree in a relevant field, such as business, program management, social services, or infrastructure services.
