Position Scope
As we continue to expand, we are seeking an operation’s assistant to join our dynamic team in office. In this role, you will be instrumental in supporting the Group's Clinical Operations, actively contributing to the development and execution of various medical services projects. Your responsibilities will encompass a wide range of tasks, including resource management, quality assurance initiatives, educational endeavours, travel arrangements, staffing coordination, and equipment requisition. This role is about supporting all our employees working in the field on a day to day basis and communicating and engaging with the clients and the public.
As an Operations Assistant you'll undertake multi-site coordination. Your wide, cross-section of projects will include but not limited to:
- International and national Medical Evactuation Retrievals
- Remote Medical Clinics throughout Australia
- Assisting Private Sectors and Government Sectors
- Event Medical Services
- Non-Emergency Patient Transport
- Crash Response Helicopters
Reporting to the Director of Operations and liaising closely with the HR and Operations teams, this role is focused around developing plans, setting processes, policies and behaviours for operations on site.
As an Operations Assistant your responsibilities include:
- Coordination of air ambulance taskings, rescue helicopter deployments and remote medical clinics - preparing quotations, rosters, undertaking staff and client liaison, audits, reporting and equipment and stock coordination.
- Able to adhere to a 24/7 rotating roster with expectations of being oncall
- Assisting with the implementation of new medical services projects.
- Working in partnership with the Medical Director and Operations team, taking responsibility for the day-to-day coordination and allocation of resources, providing operational supervision and people management.
- Contributing to operations planning through active representation as required at meetings.
- Monitoring and reporting on operational, professional or organisational issues and outcomes within the work unit.
- Maintaining stores and equipment
- Communicating effectively with staff, other health care professionals, emergency service personnel, aviation crew, colleagues, patients and their friends / relatives.
- Ensuring the security, safety and maintenance of all equipment.
- Coordinating operational rosters across multiple sites.
- Induction and on-boarding of new clinical staff.
- Audits and site visits across the organisation’s operations.
- Managing operational circumstances in a calm and professional manner, ensuring safety and appropriate patient management.
- Recognising and managing multidisciplinary team human factors and stressors encountered during aeromedical missions.
As an Operations Assistant you will possess:
- Solid multi-site and project management experience within the health or medical sector, coupled with exceptional organisational skills and the ability to use project management software.
- The ability to work on a rotating (4 days on-4-days off) roster with an on-call component
- Demonstrated expertise managing personnel and developing rosters.
- Experience across accreditations, legislation & WH&S.
- Exceptional communication skills, both written and oral.
- Strong leadership skills; able to engage a large team of clinical personnel working remotely.
- Ability to analyse and streamline processes and accurately document and report on outcomes.
- Prior experience in clinical, defence, or aviation sectors would be advantageous.
