Our services are in high demand! Due to this growth, we have an exciting opportunity within our Operations team for an Operations Assistant.
About the role:
Based out of our Kariong office, our Operations team ensure the smooth running of BAU tasks, assisting our technical teams to deliver innovative solutions for our clients. This role will initially focus on providing administrative support to the rest of the Operations team, along with our specialist teams for Ecology, Bushfire, Arboriculture and Archaeology, however there will be the opportunity for future skills growth if desired.
The key responsibilities of the role include:
- Client management, including responding to customer enquiries via phone and email.
- Managing the Service Desk email inbox.
- Fleet management, booking travel and accommodation for staff.
- Liaising with external service providers, managing office supplies and organising internal events (gourmet BBQ skills will be highly regarded!)
- Assisting with KPI reporting on project budget costs, quoting, sales and invoicing.
- Assisting in the preparation of Standard Operating Protocols (SOPS) and ensuring that all procedures are adhered to for a smooth running of operations.
- Maintenance and management of software applications including Accelo, Trello and MS Office.
- Report editing.
- Assisting with the preparation of quotes and invoices, opening and closing projects, and project management.
- Ad hoc office duties as required.
About you:
A can-do attitude and willingness to jump in and help with any task – big or small – is essential. Our Operations team have each other’s back and team fit is a huge priority. You will need to enjoy working in a fast-paced environment, juggling competing priorities and managing a variety of responsibilities.
You are a self-starter, someone who initiates new assignments and challenges. You have a desire to succeed, go above and beyond, and demonstrate adaptability/flexibility. There are only challenges to be solved and you are willing to muck in. You have a strong client focus and a knack for building and maintaining credible working relationships.
Ideally you will have:
- A proven high level of customer service.
- Strong written and verbal communication skills.
- Sound knowledge of business software such as Microsoft Office, Google Suite, Xero, Trello, Accelo or similar or an aptitude to learn new software.
- Prior experience preparing quotes, generating project reports and general operations.
- You will have good time management skills, exceptional eye for detail, work autonomously and within a team, working closely with our highly experienced consultants.
- A qualification in business administration or relevant experience.
- Manual driver’s licence.
- Prior experience in an environmental consultancy using Six maps/Nearmap and BOSETMap would be beneficial but not essential.
