What this job involves:
We’re looking for an Operations Coordinator to join our team based on site across three shopping centre Portfolio in Greater Western Sydney! You will proactively support the Operations Manager to ensure all properties are operating to their optimum.
Additionally, ensure programmed/ad-hoc maintenance and capital works are being performed with minimal disruption to the tenants and customers. You will be responsible for the risk management, audits, contractor management, and administrative duties relating to the facilities management of the properties, to the levels required by the Client, JLL and Legislation.
A snapshot of the role;

  • JLL & client risk management reporting requirements are met, accurately and within required timeframes.
  • Contractors and staff are inducted and receive up-to-date site-specific training
  • Operations and maintenance conform to the Building Code of Australia and other relevant statutory accountabilities.
  • Properties’ various systems, plant and equipment, surface finishes, structure and surrounds are correctly serviced to the manufacturer’s specifications, and/or maintained and repaired to the required standard
  • Monitor the issuing and close out of PPM tasks to ensure contract compliance, incorporating tenant maintenance as per their lease agreement.
  • Prepare and monitor works orders, to ensure timing receipt of invoices and invoices processed accurately and timely
  • Actively contribute to the budgeting and business planning process for each property.
  • Address relevant customer complaints promptly and effectively. Liaise with retailers and centre management in providing guidance and support with health and safety issues.

The ideal candidate will possess the following:
  • Highly organised with a methodical approach to work, the ability to prioritise and meet deadlines
  • A high degree of independence is required on a day-to-day basis, working closely with the Centre Team
  • Good attention to detail
  • Keen interest in building operations, engineering, systems, and compliance
  • Experienced in property administration or operational roles
  • Working in a similar or complementary role for 1 to 2 years
  • Able to demonstrate the required skills, and looking for a career in property operations
