Your opportunity
We are looking for an outgoing and highly organised Operations Coordinator to provide operational coordination and services to support UQ Res strategies, presence, programs and initiatives. You will be required to balance conflicting priorities, work to deadlines, displaying a high degree of professionalism, judgement and confidentiality in a fast-paced environment. This includes day-to-day operations coordination such as leading physical inspections and walk throughs of buildings; in person audits of OHS process and procedure implementations; and the delivery of effective administration systems. The Operations Coordinator operates with experience in overseeing online and offline business processes, as well as the ability to provide sound and timely advice to support staff, students and stakeholders both internal and external.
Key Responsibilities
- To oversee the co-ordination of daily operations at UQ Res Gatton under the direction of the General Manager
- Plan, implement and coordinate a program of administrative tasks including room applications, check in/out, providing services, coordinating projects, producing reports and allocating resources in accordance with agreed standards and timeframes
- Attend online and offline enquiries including the provision of effective communication and managing correspondence, complaints and other requests.
- Maintain accurate and up to date resident records in our StarRez accommodation operating system.
- Conduct physical inspections of premises to monitor cleaning and maintenance compliance to contractual KPls and communal living standards
- Working and supporting other team members to deliver departmental needs and goals
- Co-ordinating office supplies, administration and the maintenance of office equipment
- Participate in a range of UQ Res and campus events such as Career Markets, Open Days and Graduation Ceremonies or other promotional events as directed by the General Manager.
- Any other duties, commensurate with the job role, as directed by the General Manager
- Assist the UQ Res Finance team with invoicing and the reconciliation / reporting on debtor management, ensuring timely collection and resolution of outstanding payments.
Selection Criteria
Essential
• Experience working in front-line operations.
• Highly-developed written and verbal communication skills, including the ability to interact with a diverse range of stakeholders.
• Proven ability to multitask with high level attention to detail, with the demonstrated ability to manage issues and events in person and online
• A strong commitment to excellence in a customer first approach and a hands-on approach to service provision and issue resolution
• Excellent computer skills including Microsoft Office
• Proven ability to deal professionally with people from diverse backgrounds, particularly in relation to students, UQ Res and university staff.
• Demonstrated ability to work as an effective member of a team as well as the ability to exercise high levels of independence, judgment and initiative
Desirable
• Experience working in student accommodation, services, hotel, residential industry
• Experience with students in a university setting.
• Experience working with StarRez residential management platform

The position will work across UQ Res and will report to the General Manager, Halls of Residence Gatton
Other Job Related Information
- This role is a full-time based on the Gatton Campus with some travel to St Lucia as required for training and work purposes.
- There may be a requirement to work additional hours from time to time
- There may be peak periods of work during which the taking of leave may be restricted
