A privately owned company in operation for over 15 years managing BP Fuel Service Stations in Victoria, Queensland and Western Australia.
We are seeking self-motivated and highly organised Operations Manager to assist with the daily operation and management of all Epic sites in Western Australia.
Overview:
The Operations Manager is a proactive, self-driven professional responsible for the effective and successful management of labour, productivity, quality control and safety measures across Western Australia Epic Fuel Group sites.
Manage/monitor site operations and site managers to ensure day to day compliance with all company procedures and that sites maintain a high quality audit standard and profitability. Serve as a company representative on regulatory issues. Enhance the operational procedure, systems and principles in the areas of information flow and management and business processes.
Key Responsibilities/Outcomes
Relationship Management:
- Maintain Relationship with suppliers, ensuring Epic are receiving appropriate pricing and ranging appropriate products in our sites.
- Maintain Relationship with BP and BP Buying group, ensuring Epic comply with Buying Group standards and remain involved with key decisions on approved suppliers and ranging on products.
Operations:
- Commuting to Epic sites to undertake the following responsibilities.
- Work closely with BP to ensures sites remain compliant with all applicable internal/external regulations and standards (includes attending BP Dealer Meetings).
- Maintain close relationship with key Suppliers to ensure competitive promotional pricing
- Develops and enhances Operational policies and procedures.
- Accountable for compliance with all applicable process and personnel safety expectations as per retail health & safety manual.
- Accountable for development and delivery of an effective site monitoring and preventative/predictive plan and maintenance .
- Investigate and follow through customer grievances.
- Ensure sites are adhering to Fuel Pricing requirements.
- Ensure sites are ranging appropriate shop stock and are maintaining appropriate stock levels.
- Ensure sites are adhering to stocktaking requirements
- Set up of new stores shop layout, equipment and stock as required.
- Ensure knowledge on POS, customer service, food handling and barista coffee
- Support sites and head office with technical troubleshooting
- Support site managers with basic repairs and maintenance and troubleshooting, overseeing repair and maintenance jobs
- Monitor site sales and assist Site Managers to maximize and increase sales where possible.
- Ensure sites are prepared in terms of stock holdings for peak sales periods eg Christmas & Easter.
- Monitor and control sites performance in terms of distress stock and margins as identified by account department after stock takes.
- Monitor and control sites performance in terms of drive offs, failure to pays and cash shortages.
- Ensure monthly SIRA analysis is being done and any issues are followed up.
- Ensure sites have all relevant Food Licences and Health and Safety plans in place including Manifest Boxes are up to date.
- Ensure sites have relevant Tobacco Licence is up to date and renewed annually.
- Ensure sites have current Dangerous Goods Licence and Risk Assessment in place for audit by relevant authorities.
- Ensure groundwater monitoring is and analysis is occurring as required and any issues identified are communicated to Directors.
- Analysis of monthly sales reports.
- Organise monthly manager meetings and attend staff site meetings as required
- Attending sites staff meetings.
Audits
- Ensure sites are maintaining Quality Audit standards of 90% and above.
- Review monthly site Quality Audits carried out by external provider and ensure sites rectify issues identified prior to the next audit and provide report to Directors and Head Office.
- Complying with annual ACAPMA Audit for all sites and compliance certifications to be provided to Epic Head Office and BP.
- Educate and demonstrate to site managers the appropriate level of standard for all aspects of the site as detailed in the Quality Audit including but not limited to: site appearance, stock management, amenities cleanliness, forecourt presentation, promotions compliance.
- Assist with any store relays, upgrades, stocktaking, renovation and clean-up tasks.
- Assist with the setup of new stores as required.
- Review site security systems to monitor staff and customer service, report any issues to Directors and Head Office.
People Management
- Work with HR Team to ensure sites are adequately staffed.
- Participate in interviews for recruitment of retail staff.
- Participate in the induction process when required.
- Train Site Managers in customer service, front and back of house processes, people management and general training
- Oversee the annual performance assessment review for all retail employees.
- Work with Site Managers, review site rosters are effective and on budget
- Address any site employee performance related matters promptly and efficiently. Refer matters relating to termination to the HR Manager.
- Proactively build a network and talent pipeline to ensure optimal delivery against hiring plans.
Site Relief Manager
- Carry out the role and responsibilities of the Site Manager including customer service and food handling.
- Conduct spot audits on rosters to ensure staff attendance correlates with roster scheduling.
- Ensuring all compliance requirements are strictly adhered to.
- Building and developing the store team.
- Maintaining excellent store presentation through visual merchandising, inventory management and stock control.
- Managing the accuracy and security of all store transactions.
- Driving store profitability through operational excellence and loss prevention.
- Implementing operational policies and manage back office administration.
- Attend and respond to all operational queries /issues that arise from staff in stores.
- Any other duties as requested by Directors from time to time.
Environment Health & Safety
- Ensures sites remain compliant with all applicable internal/external regulations and standards.
- Maintains appropriate asset monitoring/maintenance programs.
- Adheres to established procedures and good operating/maintenance practices.
- Accountable for compliance with all applicable process and personnel safety expectations as per operational manual.
- Accountable for development and delivery of an effective site monitoring and preventative/predictive plan and maintenance.

Education & Experience
- 3 years+ experience as Operations Manager in retail fuel industry
- Adequate knowledge of organisational effectiveness and operations management
- People Management Skills
- Excellent interpersonal skills and a collaborative management style.
- Familiarity with business and financial principles and practices
- Working knowledge of budgets and forecasting
- Application knowledge (MS Office, MYOB, Employment Hero, Kreative POS preferrable etc)
- Ability to effectively communicate with all levels of the organisation
- Leadership and organisational skills
- Business degree in operations management or related field
