InstantCosmetics are the original scripting platform for Australia's medi-aesthetics industry. We have been supporting our cosmetic nurses with fast access to experienced and quality cosmetic doctors since 2018. InstantCosmetics was acquired by Wesfarmers Health in July 2023.Wesfarmers Health was formed in March 2022 with the acquisition of Australian Pharmaceutical Industries (API and includes 73 company-owned Priceline stores, 396 Priceline pharmacy franchise stores and 89 Clear Skincare clinics and is also a wholesale distributor of pharmaceutical goods. In 2023, the Health division expanded its digital and medical aesthetics offering with the acquisitions of telehealth provider InstantScripts, as well as the SILK Group, who operates a network of around 140 wholly-owned, joint venture and franchised clinics. The division employs more than 3600 team members.About the role:We are seeking a dynamic and proactive Operations & Support Coordinator to join our team InstantCosmetics.Reporting to the Head of InstantCosmetics, as the Operations & Support Coordinator, you will play a pivotal role in ensuring the smooth and efficient running of daily operations, driving continuous improvement initiatives, and providing exceptional support to our internal and external stakeholders.This role will require you to primarily work from home, however our Support Office is located in Surry Hills.What you'll do:
- Ensure that all administrative operations run smoothly and efficiently.
- Monitor emails, social media chats, cosmetic support, and doctor chats to address day-to-day issues, problems, and opportunities for the company.
- Oversee the support team across InstantCosmetics, including planning, organising, and implementing daily operations to maximise efficiency, productivity, and profitability.
- Drive continuous improvement in operations by analysing data, identifying areas for enhancement, and implementing changes to improve efficiency, quality, and customer satisfaction.
- Identify and implement operational goals to support team members in alignment with organizational objectives.
- Plan and execute short and long-term goals to ensure organizational targets are met.
- Liaise with senior managers to understand and work within sales and profit goals.
- Assist in cost-saving measures, increase productivity, and improve profitability.
- Minimum 2 years of contact centre or administrative support experience.
- Exceptional written and verbal communication skills.
- Sound knowledge of MS Office suite.
- Driven with a willingness to learn and adapt.
- Extremely personable, ability to liaise with internal and external stakeholders at all levels.
- Ability to understand, troubleshoot, and resolve complex issues, and explain them in a clear and simple manner.
- Familiarity within a medical or cosmetics/beauty field is preferred.
