P&C Administration Officer
Employment Status: PPT (School hours 9am - 3pm Monday- Friday)
Reports To: The employee shall be accountable to the OSHC Manager and P&C Executive Committee of the Freshwater P&C Association.
1. Primary Role
To support the P&C in effective and efficient operations Freshwater State School OSHC, in accordance with policies, directions and delegations of the P&C Association with matters related to administration and finance.
2. Role Duties
In accordance with national law and regulations, documented in service policies and procedures, maintain full and accurate records on the cloud-based platform Xplor including:
- Enrolments
- Child Care Subsidy management
- Session bookings
- Parent/guardian profiles including permissions and authorisations
- Child profiles including medical records and permissions and authorisations
- Educator profiles which accurately reflect electronic staff files
- Comply with Government regulations, legislation, standards, and requirements, while abiding by P&C Queensland’s guidelines and accounting manual specifications including maintenance of service records and attendances where subsidy arrangements with Government Departments may be affected (Child Care Subsidy and Additional Child Care Subsidy).
Exceptional customer service skills:
- Respond to email correspondence demonstrating an ability to prioritise items to be actioned as required
- Answering inquiries concerning bookings, enrolments and accounts
- Screening incoming phone calls and relaying information to the appropriate person/s
- Handling of parent accounts receivable/payable and charging of appropriate fees including surcharges. Following of service procedures with regards to debt collection of childcare fees.
- Childrens medical conditions, food allergies, special circumstances and preferences are accurately documented and communicated.
Maintain compliance records and conduct routine checks related to the workplace health and safety requirements of the business:
- Material Safety Data Sheets
- Emergency procedures
- Maintenance log
- Asset register
- Completing ad-hoc secretarial tasks as requested by the P&C executive committee and OSHC Manager
- Actively promote the objectives and long-term goals of the P&C within the school. Developing meaningful relationships with children, co-workers, parents, teachers, and P&C members.
