Role purpose

We are seeking a Client & Talent Executive Assistant to join the Peerpoint business team in Australia, based in Sydney. This role will report to the Head of Peerpoint, Asia Pacific and Middle East, and work very closely with the Senior Business Manager, Australia and other members of the Australia management team.

This role will support the 360-degree consultant and client lifecycle at Peerpoint from administrative duties involved in the recruitment of consultants to our panel, to client diary management and ensuring our CRM and recruitment systems (Salesforce and Kenexa) are up to date. This role will be crucial to the seamless delivery of our client and consultant experience and will provide great insight to the end-to-end running of our business.

This role will suit someone who is confident, articulate and adaptable and prepared to take a hands-on approach and flex with business needs as required. Excellent organisational skills and meticulous attention to detail are needed to ensure that Peerpoint’s day-to-day stakeholder interactions, be those internal or external, are consistent with the brand that our clients and consultants have come to know and return to us for.

The Client & Talent EA will support the Head of Peerpoint, Asia Pacific and Middle East, and Senior Business Manager, Australia in all aspects of ensuring smooth operation of the Peerpoint team in the region.  In addition to EA duties and diary management, responsibilities will include ensuring that Peerpoint’s Recruitment, Consultant and Client Management teams work together seamlessly, including managing the team’s weekly calendar, events and supporting shared projects.

Key responsibilities

This role will include all aspects of supporting the Head of Peerpoint, Asia Pacific and Middle East in running the Peerpoint business and managing the operation of the team across the region.

EA support to the Head of Peerpoint, Asia Pacific and Middle East, including:

  • Proactive bi-weekly check-ins to understand their priorities for the week and what needs to be prioritised and de-prioritised
  • Diary and inbox management, including meeting coordination, administration and preparation
  • Comprehensive planning and coordination of travel arrangements and logistics
  • Support in achieving a work/life balance aligned with Peerpoint’s Mindful Business Charter
  • Other typical EA duties
Team coordination, including:
  • Full management of the team’s weekly diary – organising team meetings/calls, logistics, agendas, minutes and actions
  • Facilitating and promoting efficient cross-team collaboration between the functional teams (Talent, Operations and Client Management) within Peerpoint in Asia Pacific and the Middle East, as well as international teams, such as London
  • Supporting other team members, including covering for absences when needed
Client and talent coordination, including:
  • Keeping recruitment and client systems, trackers and filing systems updated on a daily basis while ensuring all filing systems are GDPR compliant
  • Diary management – setting up candidate, partner and client interviews, meetings and reference call appointments; booking rooms, catering and arranging video conference calls
  • Managing all enquiries to certain Peerpoint dedicated inboxes
  • Reporting in systems, such as Salesforce and Kenexa
  • Conducting some initial exploratory calls with potential candidates
  • Conducting reference calls and where appropriate, generating client leads from the reference conversations
  • Conducting due diligence on Peerpoint candidates, meeting Peerpoint candidates, typing up meeting notes and administering technical tests, where necessary 
  • Preparing client materials, reports, relationship summaries and typing up meeting notes

Key Skills

  • Excellent organisational skills, able to run processes to meet deadlines, prioritise and judge when to escalate
  • Strong writing skills, able to draft formal documents (using standard templates and with guidance)
  • Excellent attention to detail and very strong literacy and numeracy skills, ideally including advanced Powerpoint or Excel skills
  • A good relationship builder with strong communication skills, which will be called on with clients and third parties as well as internally – a key contributor to an exemplary consultant and client experience
  • Pragmatic, proactive, self-possessed, delivery-focussed, whilst able to spot opportunities for improvement
  • Experience in a professional or financial services environment in a team or office coordination role
  • Enthusiasm for being part of a young, dynamic business, motivated to contribute on different fronts and to grasp opportunities as they arise
  • A confident self-starter and quick learner, with a positive and enthusiastic outlook and a willingness to take on a wide range of tasks, activities and projects
  • Articulate, tactful and diplomatic, with excellent communication and interpersonal skills
  • Openness to flexible working hours would be preferred
