Position Overview:
As a Personal Assistant to our Directors, you will play a pivotal role in providing administrative support and ensuring the smooth operation of their office. You will be responsible for managing various tasks, including vetting mail, overseeing phone calls, handling lodgement deadlines, and assisting with ad-hoc administrative duties.
Key Responsibilities:

  • Vet mail and oversee debt phone calls for the Directors, including managing super notices and ATO calls related to clients.
  • Coordinate SMSF deed updates and manage lodgement deadlines, ensuring timely communication with clients.
  • Complete and send year-end distribution minutes to clients before specified deadlines.
  • Assist with billings for the Directors and perform other ad-hoc administrative duties as required.
  • Oversee daily activities such as Docusign usage, AFSL management, and virtual cabinet issues.
  • Serve as a backup to the Office Coordinator and ASIC Administration Assistant, as well as manage APS maintenance and updates.
  • Review preferred suppliers and subscriptions intermittently, and oversee stationery, kitchen, photocopier, and mail operations.
  • Manage new staff desk/systems setup and approve/manage all ATO lodgements, including late lodgements of tax returns.
Qualifications and Skills:
  • Previous experience as a Personal Assistant or in a similar administrative role, preferably in the accounting or financial services sector.
  • Excellent communication and interpersonal skills, with the ability to liaise effectively with clients and internal stakeholders.
  • Strong organisational and time management abilities, with a keen attention to detail.
  • Proficiency in MS Office Suite and other relevant software applications.
  • Ability to work independently and prioritise tasks in a fast-paced environment.
  • Commitment to upholding confidentiality and handling sensitive information with discretion.
