The Giorgos Group are seeking a highly organized and proactive individual to join our team as a Personal Assistant/Administrative Assistant to the Managing Director. In this role, you will be responsible for providing comprehensive administrative support to the Managing Director, who oversees a diverse portfolio of businesses including a Building company, Software company, Drone company, and Consultancy Company.
Key Responsibilities:
Executive Support: Provide high-level administrative support to the Managing Director including managing calendars, scheduling appointments, organizing meetings, and handling correspondence.
Travel Coordination: Arrange travel itineraries, accommodation, and transportation for the Managing Director's business trips, ensuring smooth and efficient travel arrangements.
Communication Management: Manage incoming communications, including emails, phone calls, and mail, prioritizing and responding as necessary on behalf of the Managing Director.
Documentation and Filing: Maintain accurate and up-to-date records, files, and documentation for all businesses, ensuring easy retrieval and organization.
Meeting Coordination: Coordinate and prepare materials for meetings, take minutes, and follow up on action items as directed by the Managing Director.
Project Assistance: Assist with various projects across the different businesses, including research, data analysis, and preparation of presentations or reports.
Office Management: Oversee office supplies, equipment, and facilities management, ensuring a well-maintained and organized working environment.
Client Liaison: Act as a point of contact for clients, partners, and stakeholders, providing excellent customer service and representing the Managing Director professionally.
Administrative Support: Provide general administrative support as needed, including but not limited to drafting documents, data entry, and coordinating with external vendors or service providers.
Qualifications:
- Proven experience as a Personal Assistant or Administrative Assistant, preferably in a fast-paced and dynamic environment.
- Excellent organizational and time-management skills, with the ability to prioritize tasks and meet deadlines effectively.
- Strong communication skills, both written and verbal, with a professional and courteous demeanor.
- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
- Ability to maintain confidentiality and discretion when handling sensitive information.
- Flexibility and adaptability to work across multiple businesses and handle diverse tasks.
- A proactive attitude with a willingness to take initiative and problem-solve independently.
