Personal Assistant / Medical Secretary for Surgical Practice
About us
An experienced colorectal and general surgeon located in Westmead looking for a reliable and committed Secretary / Personal Assistant. We pride ourselves on compassionate care. Our clinic is in Westmead Private Hospital. You will be needed in the office on a Monday and every fourth week, you may be needed half day on a Tuesday and Thursday at the office. Other days you may work from home. Working hours are 8:30pm to 5pm but on clinic days, you will be required to work overtime and will be paid overtime rates. Clinic days may be subject to change as the practice grows. $35 – $45 per hour based on experience.
Qualifications & experience
· Experience as a Medical Secretary and/or Personal Assistant and/or practice manager preferred
· Experience with Clinic to Cloud software preferred but not essential. We will offer support and training to a suitable and committed applicant
· Familiarity with Medicare, Eclipse, dealing with Private Health Funds
· Willingness to work at practice sites (usually once a week, but up to three times per week)
· Willingness to attend to rooms in the event that additional consultation sessions are required
· Fluent in English with some capacity to speak Mandarin and / or Cantonese but this is non-essential
Tasks & responsibilities
· Handling phone calls from patients, relatives, other specialists and GP doctors. It is absolutely essential that you are completely patient-focused i.e. compassionate, helpful, optimistic, agreeable and efficient
· Creating and processing invoices for consultations
· Coordinating theatre lists as appropriate
· Generating Invoices, billing patients, liaising with medical insurance companies and Medicare
· Ensuring that all invoices are paid and balances are up to date
· Communication with other medical practices
· Sending recall reminders to patients who are due for their surveillance colonoscopies
· Liaising with hospitals and submitting operating lists and lists for case discussions at multidisciplinary meetings (MDTs)
· Coordinating supplies for the rooms with hospital ie. Bedcovers to be available for clinic days
· Faxing letters to GP practices
· Natural information technology skills - we are a paperless practice that keeps all records and does all billing electronically
· Willingness to help surgeon with additional tasks as required
