Qualifications & experience
- Proven ability to manage a clinical business including human resources, planning, budgeting & reporting (minimum of three years’ experience in this role).
- Competent knowledge of MS Word, Excel and other office productivity software.
- Experience in working with specialist/medical practice software and paediatric medical specialists. Accredited training in business or medical practice management/ knowledge of medical terminology
- Member of AAPM.
- Current CPR/First aid/triage training and/or experience.
- Training and/or experience in management of emergencies, handling complaints, Medicare & other third party payers, basic infection control, safe handling & disposal of medical waste.
- Experience with specific social groups serviced by practice.
- Commitment to professional development.
Tasks & responsibilities
- The Practice Manager role is responsible for providing day-to-day and higher level management of the practice across the range of business and patient care portfolios required to ensure smooth and efficient functioning of the practice and to provide an exceptional standard of care to patients.
- Reports to owner(s).
- Manages reception/administration team and clinical team (administrative aspects).
- Key contact for external stakeholders relevant to management activities.
- Coordinates with doctors in activities relevant to key responsibilities.Seek assistance with communication outside of role scope.
- Drive and participate in practice strategic and operational planning activities with ownership, teams and individuals. Implement and monitor as agreed with ownership. Organise time effectively across the team to complete tasks and meet objectives daily and longer term.
- Oversee day to day and longer-term activities of team.Manage schedule/roster for entire practice (reception/admin and clinical schedules) based on the workload demands of the practice.Plan activity schedules for day/week/month etc for all team members.
- Report to ownership in a relevant, timely and structured manner. Manage communication within reception/admin and clinical teams and with clinicians. Schedule, plan and run team and practice meetings. Oversee management of patient enquires. Manage incoming and outgoing correspondence processes.
- Maintain privacy and commitment to confidentiality across all communications, both individually and by staff.Manage relationships with and systems/processes relevant to external supplier/stakeholders, including referrers, patients and suppliers.
- Coordinate and support business and finance / accountant/book keeping, IT and systems, human resources ,marketing, patient care and services, environment, quality, risk and safety and governance.You may be required to perform activities or take on other responsibilities not listed here.
