POSITION DESCRIPTION
Practice / Office Manager
The ideal candidate will have excellent customer service and attention to detail with a friendly personality and a positive ‘can do’ attitude.
This is a key role within the team which involves ensuring the smooth operation of the office by answering phone calls, booking inspections, ensuring digital records are kept accurately and maintaining quality control of communications in general.
Key responsibilities:
- Answering phone calls, managing bookings for inspections
- Updating the Work in Progress spreadsheet, including adding new jobs, recording important notes on jobs and updating job status
- Monitoring the main office email account, and liaising with clients and technical staff to ensure smooth operation of projects
- Assisting with quotation/tender documentations including reviewing and quality control
- Setting up new project folders and maintaining an efficient digital filing system
- Work environment is highly dynamic and you will be required to adapt and prioritise tasks accordingly, and pick up tasks where last left off
- Use initiative to manage daily tasks with excellent problem solving skills
- Stationery and office supply orders
- General admin and reception duties
Desirable but not essential:
- Experience in bookkeeping, accounts payable/receivable functions and payroll processing
- Previous experience in consulting industry is highly regarded.
Skills Required:
- Minimum 3 years’ experience in office administration
- Excellent communication skills, both written and verbal
- Experience in managing a busy switchboard with professional phone manner
- Exceptional time management skills
- Professional approach with the ability to multi-task and prioritise
- High degree of accuracy and attention to detail with communications
- Skilled in MS Suite programs, especially MS Word and Excel
