What you will be doing:
As a cornerstone of our success, you'll report directly to the owner, skillfully linking trades, supervisors, customers, and suppliers. Your role doesn't just streamline job orders and scheduling—it provides essential customer updates and manages day-to-day admin tasks, keeping the business vibrant.

About the job
On a typical day, you will do the following:
- Be our system champion, use our job management system to create, schedule, order and invoice jobs. Experience with simPRO highly desirable but not essential.
- Job preparation: collecting required documentation and deposits from customers, purchasing insurance, liaising with customers and trades.
- Job scheduling: Liaising with supervisors and collecting contractor availability on a weekly basis, ensuring a steady flow of jobs remain in the pipeline.
- Answer customer enquiries via phone and email & manage shared inbox.
- Confirm material orders and deliveries.
- Qualify leads.
- Keep customers informed of their jobs every step of the way and following them up to check in on completed jobs.
- Reviewing supplier and contractor invoices for approval through to accounts
- Manage the day-to-day administrational tasks required by the business including sourcing trades, maintaining vehicle & equipment registers, managing apprenticeship compliance and other tasks as required.
- Create and maintain company policies and procedures as required.
- Stock Inventory.
About you
To succeed in this role, you need the following attributes:
- 3+ years' experience in a similar role within the trade or construction industry, Irrigation or plumbing experience very highly regarded.
- Proven record in job coordination / scheduling and managing administrational tasks.
- Experience with simPRO not essential however will give you a leg-up
- You are looking for a role with career progression and ownership over what you do
- You have a willingness to learn and develop
- High attention to detail. There are many moving parts in this industry and it is important to be on point, every time
- You own your mistakes (we all make them!)
- You pick-up technology quickly and know your way around a computer
- You take initiative and are a good problem solver
- You are a born leader
- You have killer communication skills and love building rapport with customers and key stakeholders (i.e. subcontractors and suppliers)
- You are adaptable and responsive and understand that in this industry has many variables and that even the best laid plans can change
