About the Role
As our company expands, we require a Pre-construction Administrator to Join the team at GJ Gardner Liverpool.
The successful candidate will have:
- Previous experience in a administration role with a building company is necessary
- Proficient in Microsoft Office – Word, Excel, Outlook
- Excellent interpersonal skills, both verbally and written
- Strong organization skill and high attention of detail
- High level of attention to detail
- Capability to work independently and as part of a team, building strong relationships with suppliers, contractors and other G.J Gardner team members
- Strong communication skills
- A proven aptitude for problem solving
- Ability to work in a fast paced environment and stay calm under pressure
- Previous experience with a small builder/ Home Builder is ideal
- Previous experience with preparation of paperwork for colour, tile and electrical consultations preferred, however training will be provided
Duties and Responsibilities:
- Managing clients through the pre-construction stage
- Pre construction Office Administration Tasks for the Planning and drafting manager
- Preparation of paperwork for colour, tile and electrical consultation
- Project Management: Manage projects from the initial sales deposit to the construction handover, ensuring a seamless transition & timelines are met.
- Client Specifications: Complete and organize client specifications and color selection sheets.
- Meetings: Plan and conduct presentation and application meetings to discuss project details with clients.
- Hand Over Meeting: Ensure a hand over meeting is completed from Sales to Preconstruction once a Tender has been signed, to ensure all correct information is provided.
- Building Contracts: Prepare and present building contracts to clients, ensuring compliance with legal requirements.
- Permit Applications: Lodge and follow up DA/CC/CDC applications with certifiers and councils.
- Application Lodgment.
- Approvals: Apply for driveway and road opening approvals.
- Documentation: Create reports, registers, spreadsheets, and planning schedules to maintain project documentation.
- Council Documentation: Create Cost Reports, DA Colour schedule.
- Internal Application Lodgment: Overseeing and ensuring the following applications are lodged correctly – RO & VH, TCP, Long Service Levy, HWI, AGL & Origin.
- Dilapidation Reports: Ensuring the Delap report is completed by our sales team to GJ standard.
- Client Interaction: Meet with clients for contract and plan signings, addressing their questions and concerns.
- Design Support: Assist clients in the design and selection process following the signed tender.
- Contract Variations: Prepare contract variations for color and selection changes as requested.
- Utilities: Arrange electricity and gas connection lodgments.
- Environmental Compliance: Create waste management plans and statements of environmental effects.
- Process Improvement: Implement procedures and processes to enhance workflow efficiency.
- Supplier Coordination: Follow up with supplier quotes and selections appointments.
- Client Liaison: Liaise with clients and owners regarding color selections and variations.
- Site Confirmation: Confirm site readiness for construction in coordination with site supervisors.
- Software Updates: Provide weekly updates of all pre-construction areas in GJ Pre Construction software.
- Inclusion Management: Update Standard Range Inclusions and review inclusions every six months.
- Interior Design Assistance: Assist the interior designer with selections for display homes.
- Construction Hand over: Ensuring all required documentation for construction is finalized and provided to Construction Admin.
