Principal Support And Engagement Officer - Education Systems Engagement

Are you interested in leading a dedicated event management team who are known for designing, coordinating and delivering high-quality events?

The Information and Technologies Branch (I&TB) is looking for a highly organised, proactive and accountable individual to lead our small but dynamic team in delivering the branch's events.

This role also involves coordinating I&TB representation at external events and handling venue hiring and event coordination at the vibrant Digital Futures Hub. This role is offered on a full-time temporary basis, until 03 January 2025, unless otherwise determined.

About the Role:

Within the scope of the Responsibilities in the Role Description, the Principal Support and Engagement Officer, Education Systems Engagement coordinates the planning and delivery of events and venue hire, including:

• Driving the coordination and delivery of all aspects of high-quality events to meet organisational needs (e.g., preparing and managing event project plans and budgets, overseeing ticket sales and post-event activities)
• Coordinating development of event programs aligned to event objectives
• Coordinating event sponsorships in accordance with the department's sponsorship procedure (https://ppr.qed.qld.gov.au/pp/sponsorship-procedure)
• Coordinating purchasing, procurement and contract negotiation and management for all elements of event planning (e.g., venue hire, keynote presenters, event app and website technologies, exhibition hall fit-outs, audio-visual equipment, signage and catering) in accordance with the department's purchasing and procurement procedure (https://ppr.qed.qld.gov.au/pp/purchasing-and-procurement-procedure)
• Chairing working groups and leading stakeholder engagement with internal and external stakeholders to fully understand event requirements and ensure stakeholder support
• Liaising with departmental and branch engagement and communications teams for event planning, promotion and collateral development (e.g., website, app, and promotional communications)
• Developing event success metrics, gathering post-event feedback and using data to inform future plans
• Defining, maintaining, reviewing and improving team systems and processes to increase efficiency and improve outcomes.

NOTE: While this role is based in Brisbane CBD, weekly onsite attendance at the Digital Futures Hub (located at the University of Sunshine Coast, Sippy Downs Campus) is a requirement of this role. Attendance will be negotiated with the successful applicant.

The ideal applicant will have:

• Demonstrated experience managing multiple, competing priorities and leading with focus and optimism in an environment of complexity and ambiguity
• Experience working with internal and external stakeholders and colleagues in other teams to deliver outcomes
• Excellent time management skills including working to deadlines, attending to detail at all times
• Demonstrated experience in all aspects of event planning, management and delivery, including experience managing suppliers to ensure the provision of contract deliverables
• Ability to proactively manage risks and issues, and identify creative solutions to emerging problems
• Experience using data and feedback to reflect on performance and identified opportunities for improvement
• Understanding of how events can Support and promote the department's strategic priorities.
