About the Role
The Procurement Support Officer is part of the Procurement branch and provides support to DTP’s Procurement team by effectively managing and assisting the team with its day-to-day procurement and administration functions.
The role is responsible for updating and maintaining the contract management system producing reports, undertaking research and other administrative tasks as required. The position also provides specialist Procurement Support and contributes to managing Request for Tender and Expression of Interest processes.
The Procurement Support Officer plays an important role by ensuring all procurement documentation meets Victorian Government procurement standards. This role requires drive, determination, and an ability to work as part of a team.

Position Outcomes / Accountabilities
• Provide guidance and support to team members and system users, managing issues to resolution and escalations where required
• Assist in the preparation of procurement correspondence, including approval documentation for a range of procurement activities
• Contribute to the development and review of existing procurement policies and procedures, business rules and guidelines
• Contribute to the preparation and review of briefings, correspondence, detailed reports and submissions, and ensure the timely progress of submissions through varied government processes
• Provide procurement and contractual advice and support to staff and managers across project teams
• Provide a broad range of administrative and support services for the whole team to prescribed standards and criteria. This includes preparing reports, undertaking research, maintaining the contract management system (Zycus) and proofreading correspondence and documents before distribution
• Provide assistance to the Procurement team and the Chief Procurement Officer for the management of contracts, purchase orders and invoices
• Excellent customer service skills, with an ability to investigate and resolve stakeholder enquiries
• Determine the work organisation to ensure effective and efficient administration processes and exercise professional judgement on the rules and policies that will support the coordination of sensitive and confidential tasks
• Arrange and coordinate interviews with external suppliers
• Identification and implementation of business improvement initiatives
Qualifications and Experience
Desirable
• Demonstrated experience in the use of Zycus, Oracle Cloud or related systems and/or tertiary qualification in a relevant field
