Program Support Officer role within a federal government agency
Initial contract ill 30 June 2024 plus 2 x 6-month extension options
ACT location preferable, other locations may be considered
Our client is seeking a highly experienced Program Support Officer to provide administrative and operational support to the ICT Sourcing Program office.
About the role The Program Support Officer will play a critical role in ensuring the smooth operation of the program office and supporting the successful delivery of the program and related projects. Strong organisational, communication, and problem-solving skills are essential for this role.
The duties of the role will include, but are not limited to:
Administrative Support: Assisting with day-to-day administrative tasks such as scheduling meetings, organising calendars, preparing documents, and managing correspondence.
Coordination and Communication: Facilitating communication among team members and stakeholders, ensuring that information flows smoothly and deadlines are met. Coordinating meetings, preparing agendas, and documenting meeting minutes.
Documentation and Reporting: Maintaining program documentation, including project plans, status reports, and other relevant records. Generating and distributing reports as required by the program director or stakeholders.
Data Management: Assisting with data collection, entry, and analysis. Ensuring the accuracy and integrity of program data and records. Creating and updating spreadsheets to track program progress and performance.
Resource Management: Assisting with resource planning, allocation, and tracking.
Stakeholder Engagement: Supporting the program director in engaging stakeholders and maintaining positive relationships. Coordinating stakeholder meetings and communications. Addressing stakeholder inquiries and concerns.
Risk Management: Assisting with identifying and assessing program risks. Supporting the development and implementation of risk mitigation strategies. Monitoring risks and escalating issues as necessary.
Training and Onboarding: Assisting with program-related training and onboarding activities for new team members. Providing guidance and support to team members on program processes and procedures.
Any other tasks as directed by the buyer.
Skills and Experience The successful candidate will have:
Minimum 3 years’ experience in Program/Project Support roles.
Excellent communication and interpersonal skills with the ability to collaborate effectively with diverse stakeholders.
Excellent organisational and coordination skills.
Strong analytical and problem-solving skills.
Excellent verbal and written communication skills.
Eligibility/Other Requirements:
To be eligible for employment in this role, you must be an Australian citizen, have and hold an Australian Government security clearance at the Baseline level for the duration of the Contract term.
