Your Opportunity
Mission Australia Inner City Services offers clients with complex needs immediate accommodation and intensive case management to create opportunities that end the cycle of homelessness. The service operates 24 hours per day, seven days per week with capacity to accommodate up to 40 male clients.
Join us for an exhilarating opportunity where you'll be at the heart of our operations, ensuring seamless service delivery! As our newest team member, you'll be the friendly face greeting visitors and offering support both in-person and via phone. Working closely with the Operations Coordinator and our dedicated staff, you'll tackle a range of administrative tasks, making every day exciting and fulfilling.
Your key responsibilities will be to:
Address public inquiries, providing responses to general questions.
Assist staff in completing client paperwork and application forms as needed.
Possess a working knowledge of human service networks, organizations, and providers, with an understanding of homelessness service systems, including trends, patterns, and systemic issues.
Demonstrate conflict resolution skills, including de-escalation and negotiation techniques.
Be the first point of contact for clients and stakeholders, including answering calls, responding to queries, managing guests, and overseeing the entrance common area.
Orient and provide general support to service providers and on-site subcontractors.
Perform various administrative tasks such as handling incoming and outgoing mail and maintaining operational records.
Record and transcribe minutes of staff and managerial meetings, utilizing software such as MACSIMS and other in-house systems for data entry.
Create materials to support the office or program, including correspondence, presentations, reports, and meeting materials.
Assist in processing room bookings, car parking inquiries, reservations, catering, pantry supplies, and other duties.
Develop and enhance administrative processes to improve efficiency and effectiveness.
Requirements for Success
Proven administrative experience.
Strong Microsoft Office Suite and database systems, and keyboard experience
Excellent communication skills.
Good literacy and numeracy skills
Good relationship-building and teamwork skills
Solid customer service experience and skills
Previous experience working with vulnerable people at risk of homelessness an advantage.
Before starting work with us, you will need to undertake a national police history check, qualifications, and referee checks, and have a clearance to work with children/vulnerable people.
